Administrative Coordinator Opportunity at Vaco

Vaco is seeking a highly skilled Administrative Coordinator to join our team in Deerfield Beach, FL.

Key Responsibilities:
  • Provide exceptional customer service and communication with customers, sales team, credit, accounts receivable department, scale house, internal plants, outside vendors, and customer care.
  • Manage customer accounts, including research and resolution of billing issues, product returns, and load diversions.
  • Utilize problem-solving techniques to resolve issues and know when to engage others.
  • Operate SAP, JWS, and Systech software.
  • Set up and maintain customer master price lists for external and internal sales in multiple systems.
  • Maintain customer master files, including fuel surcharge, freight, and new ship-to locations.
  • Run weekly and monthly reports using environmentally friendly methods to distribute to internal customers.
  • Request proof of deliveries from haulers and coordinate with the Logistics Department on freight-related matters.
  • Perform administrative tasks, including copying, filing, searching archives, and retrieving tickets for assigned accounts.
Requirements:
  • 2-3 years of administrative experience and an Associate's or Bachelor's degree preferred.
  • Strong customer service or accounting-related experience preferably in a sales environment.
  • Excellent analytical and communication skills to deliver results.
  • Strong computer skills, including Microsoft Office, Excel, Word, PowerPoint, and Oracle or SAP.
  • A good listener with the ability to solve problems with minimal supervision.
  • High energy and a proactive approach when assisting customers, often delivering more than required.
  • Strong team concept skills required.
  • Ability to work well under pressure, meet deadlines, and prioritize work projects.
  • Flexible and interested in trying new techniques, with a coachable attitude.
