IRISNDT Inc is in search of a meticulous Human Resources Coordinator to assist our HR department. This position is pivotal in managing and organizing sensitive documents, facilitating offboarding procedures, and ensuring compliance with record retention policies. The HR Coordinator will be instrumental in upholding the confidentiality and integrity of HR files and records, requiring exceptional organizational abilities and a keen eye for detail.

Position Summary:

The key duties of this role encompass scanning sensitive documents, ensuring proper naming conventions, utilizing Nitro Pro for document separation, renaming files, and uploading them to our HRIS system. A high degree of attention to detail and outstanding organizational skills are essential to maintain the confidentiality and integrity of HR records.

Core Responsibilities:

  • Document Management:
    • Scan sensitive HR documents, ensuring accurate naming conventions are applied.
    • Utilize Nitro Pro to separate, sort, and name documents.
    • Upload scanned documents into our HRIS system and organize them within the appropriate personnel folders.
  • Record Retention:
    • Maintain accurate and current human resource files, records, and documentation.
    • Assist in ensuring compliance with company policies and legal requirements regarding record retention.
  • Offboarding Assistance:
    • Manage the archiving of former employee records in accordance with company policy and legal guidelines.
    • Support the offboarding process, including preparing necessary documentation, coordinating exit interviews, and ensuring all employee records are updated and retained appropriately.
  • Confidentiality and Compliance:
    • Help maintain the integrity and confidentiality of human resource files and records.
    • Ensure that all HR processes comply with relevant laws and regulations.
  • File Maintenance:
    • Ensure accurate and up-to-date human resource files, records, and documentation.
    • Safeguard the integrity and confidentiality of all human resource files and records.
  • General HR Support:
    • Provide general administrative support to the HR team as required.
    • Assist with additional HR administrative tasks as assigned.

Required Skills and Qualifications:

  • Attention to Detail: Essential for ensuring accuracy in document naming, separation, and organization.
  • Organizational Skills: Excellent organizational skills are crucial for efficiently managing multiple documents and tasks.
  • Confidentiality: Ability to handle sensitive and confidential situations with professionalism, tact, and diplomacy.
  • Communication: Strong written and verbal communication skills for effective interaction with team members and management.
  • Technical Proficiency:
    • Proficient in Microsoft Office Suite or similar software.
    • Ability to quickly learn HRIS and other related applications.
    • Experience with Nitro Pro and BBHR (or similar document management systems) is advantageous.

Education and Experience:

  • High school diploma or equivalent required.
  • Previous experience in an administrative or HR role is preferred.
