Alaska Clean Seas (ACS) is a non-profit organization dedicated to oil spill response, comprised of member companies involved in oil and gas exploration and transportation activities.

The Business Department at Alaska Clean Seas is seeking to fill the role of Accounting Specialist. This opportunity is available to both internal and external candidates.

ROLE SUMMARY:

This position operates under the general guidance of the Accounting Supervisor. Key responsibilities encompass managing accounts payable, accounts receivable, and cash transactions. Additional duties include maintaining general ledger accounts and executing special projects that require documentation, support, and analysis. The role also includes acting as the primary backup for the Payroll Specialist, ensuring accurate payroll preparation, processing, documentation, and distribution, while adhering to company policies and government regulations.

KEY RESPONSIBILITIES:

  1. Manage weekly Accounts Payable by verifying invoices against properly executed Purchase Orders and entering cost code information for payment processing. Reconcile Accounts Payable sub-ledger with control accounts, vendor statements, and issue annual 1099 forms.
  2. Handle credit card statements and related journal entries.
  3. Oversee monthly Accounts Receivable by preparing invoices for direct labor and materials, ensuring compliance with member company standards.
  4. Process monthly Accounts Receivable for multiple member company funding invoices, reconciling quarterly and annually while adhering to member company guidelines.
  5. Record Cash Receipts, posting payments as received and updating the Accounts Receivable Aging Report accordingly.
  6. Serve as the primary contact for member companies to resolve outstanding balances.
  7. Reconcile Accounts Receivable Aged Trial Balances with control accounts and generate statements.
  8. Reconcile Balance Sheet accounts, researching entries and preparing necessary journal entries.
  9. Prepare journal entries to reconcile ACS Inventory billed to member companies.
  10. Develop and implement a cross-training program for Payroll Specialist(s) to ensure backup coverage for the Accounting Specialist role.

ADDITIONAL DUTIES:

  1. Participate in meetings, training sessions, drills, and exercises as required.
  2. Perform other job-related tasks as assigned.

ESSENTIAL QUALIFICATIONS:

  • Five (5) years of relevant experience in accounting, including A/R, A/P, payroll, and general ledger.
  • Ability to work independently and solve problems effectively.
  • Proficient in PC applications, including accounting software and MS Office (Word, Excel, Outlook).
  • Strong written, verbal, analytical, and interpersonal communication skills.
  • Ability to organize and prioritize tasks to meet deadlines.
  • Fluency in English, both written and spoken.
  • Physical requirements include frequent sitting, keyboarding, speaking, hearing, and seeing; occasional walking, standing, bending, reaching, pulling, pushing, and lifting up to 25 lbs.
  • Valid driver's license with a clean driving record.

PREFERRED QUALIFICATIONS:

  • Associate's degree in accounting or a related field, with a minimum of three (3) years of experience in A/R, A/P, and payroll.
  • Experience with Sage Intacct is preferred.

PHYSICAL REQUIREMENTS:

  • This position requires frequent walking, standing, sitting, reaching, and keyboarding, with occasional squatting and bending.

WORKING CONDITIONS:

  • This is an Anchorage-based position with a standard 40-hour work week, Monday to Friday, from 8 am to 5 pm (Alaska time), currently operating under a telework schedule.
  • Flexibility in work hours may be necessary to meet job demands, including potential recall during spill response emergencies.
  • Periodic travel may be required.
  • Work may involve exposure to extreme arctic conditions while outdoors or traveling to various locations.
  • Safety footwear compliant with ANSI standards is required when working in specific environments.
