Field Operations Administrative Assistant

The Field Office Administrator plays a crucial role in supporting the onsite project team at construction sites.
Key Responsibilities:- Ensure the accuracy of billing information and rectify any discrepancies.
- Oversee the management and processing of invoices, payment requests, and purchase orders, ensuring all necessary documentation is included.
- Engage with trade partners and suppliers to maintain and update account details.
- Assist in the creation, distribution, and monitoring of various project-related documents.
- Compile and organize project closeout documentation.
- Prepare and submit reimbursements for petty cash and manage expense reporting.
- Process payroll for field personnel, including the maintenance of attendance records.
- Organize and maintain job site documentation efficiently.
- Perform general receptionist duties as required.
- Coordinate travel arrangements for staff and visitors as necessary.
- Ensure the office trailer is well-maintained and stocked with supplies.
- Arrange catering for onsite meetings.
- High School Diploma or equivalent qualification.
- 1-2 years of experience in administrative support within the construction sector.
- Proficient in computer applications, including Excel and Word.
- Possession of a valid Driver's License.
This role involves working in both indoor and outdoor environments, with exposure to varying weather conditions. Candidates must possess the physical capability and mobility to perform job functions effectively.
Vision: Adequate visual acuity with or without corrective lenses.
Hearing: Adequate auditory perception with or without corrective measures.
