Job Summary

We are seeking a highly organized and detail-oriented Legal Support Specialist to join our team at AmTrust Financial Services, Inc. in Irvine or West Hills. As a key member of our Litigation office, you will provide critical support to our attorneys, ensuring the smooth operation of our legal services.

Key Responsibilities
  • Provide administrative support to 3 attorneys, including calendar management, document preparation, and data entry.
  • Identify and flag critical documents requiring timely responses and associated deadlines to ensure our clients and company are protected from sanctions and unnecessary litigation.
  • Coordinate and schedule meetings, hearings, appointments, and depositions, ensuring seamless communication with all parties involved.
  • Maintain and manage attorney calendars, avoiding and resolving conflicts to ensure efficient use of time.
  • Generate draft templates for attorney review and approval, including pleadings, motions, objections, and correspondence.
  • Document processing, including assembling, serving, and e-filing documents as required.
  • Independently manage and prioritize competing deadlines, ensuring timely completion of tasks.
  • Communicate with claim partners, clients, witnesses, court personnel, opposing counsel, vendors, and team members in a professional and collaborative manner.
  • Maintain data integrity in our document management platform, supporting our paperless environment.
  • Timely transmit and request payments to vendors, experts, and other parties as needed.
  • Knowledge of local court rules and e-filing requirements.
  • Assist the Manager with special assignments as needed, providing workflow feedback to eliminate unnecessary or outdated processes.
  • Identify outdated templates requiring updates and implement best practices and departmental workflows.
Requirements
  • High school diploma or general education degree (GED).
  • 5+ years' experience in California General Liability or Construction Defect, preferably in a legal support role.
  • Prior experience supporting multiple attorneys and competing deadlines.
  • Proficient in technology, Microsoft Office (Word, Excel, Outlook, etc.).
  • Organized, self-motivated, and able to prioritize and work independently.
  • Exceptional attention to detail and production of professional work product.
  • Excellent written and verbal communication skills.
  • Ability to work in a team environment with a positive and respectful attitude.
  • Experience with a document management platform (Litify a plus).
