Job Overview

We are looking for a meticulous and proactive Office Administrator and Financial Coordinator to join our team at CIS&H, Inc. This role is essential in providing comprehensive support to our executive leadership while ensuring precise financial management and adherence to accounting standards.


Key Responsibilities:
  1. Executive Assistance:
    • Offer high-level administrative support to the CEO, including managing calendars, organizing meetings, and handling communications.
    • Draft and refine documents, reports, and presentations for executive review.
    • Maintain confidential files and records with utmost discretion.
    • Coordinate travel logistics for the CEO and senior personnel.
    • Assist in the creation and dissemination of internal communications.
  2. Financial Management:
    • Accurately record and reconcile daily financial transactions using accounting software.
    • Prepare and oversee financial documentation, including balance sheets and income statements.
    • Manage accounts payable and receivable processes, including invoicing and payment tracking.
    • Oversee payroll functions to ensure timely employee compensation.
    • Collaborate with external accounting professionals to prepare tax documentation and ensure compliance with regulations.
    • Assist in financial planning and budget preparation.
  3. Collaboration with External Accountants:
    • Work closely with external accountants to guarantee timely and accurate financial reporting.
    • Support the preparation of audit and tax filing documentation.
    • Communicate effectively to resolve discrepancies and maintain compliance with accounting standards.
    • Provide necessary financial data to facilitate the accountant's work.
  4. Additional Duties:
    • Assist management with various projects and tasks as required.
    • Ensure the confidentiality and security of sensitive financial and personnel information.
    • Deliver exceptional customer service to clients and vendors.

Qualifications:
  • High school diploma or equivalent; an associate or bachelor’s degree in finance or accounting is preferred.
  • A minimum of three years of experience in financial management or bookkeeping.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Strong attention to detail and excellent organizational skills.
  • Outstanding communication and interpersonal skills.
  • Ability to work independently and collaboratively.
  • Familiarity with tax regulations at various levels.
  • Experience collaborating with senior management and external accounting professionals is advantageous.
