Role Summary

The Business Manager position is essential in assisting the Executive Director with the administration of various program functions, ensuring the smooth and effective operation of the organization.

Key Responsibilities

  • Actively provide administrative assistance across various operational areas of the program.
  • Manage accounting functions and reporting in compliance with established accounting principles and regulatory standards.
  • Oversee banking operations related to program requirements, including cash ledgers, cash flow management, deposits, withdrawals, and check processing.
  • Ensure compliance with IRS regulations and reporting requirements through diligent monitoring of financial functions.
  • Effectively handle recruitment processes, including pre-employment and onboarding procedures.
  • Administer personnel files, ensuring staff records and training documentation are current and accurate.
  • Coordinate payroll reporting in collaboration with Human Resources and Payroll departments.
  • Establish and maintain schedules for program reporting obligations to both internal and external stakeholders.
  • Provide additional clerical support as necessary.
  • Assist the Executive Director with board-related tasks, public relations, and fundraising initiatives.
  • Compile information for grant funding applications.
  • Maintain essential program documents such as contracts, cooperative agreements, letters of support, leases, and corporate bylaws.
  • Identify and address potential risk management issues to ensure a safe and productive work environment.
  • Update and manage the program's organizational chart.
  • Track inventory of program assets and report any discrepancies to the Executive Director.
  • Foster effective communication with both internal and external parties.
  • Maintain confidentiality regarding sensitive information.
  • Participate in special program events, including trips and sports activities.
  • Address facility maintenance and equipment cleaning as needed.
  • Respond promptly to inquiries and tasks from Finance and Support Services.
  • Obtain and maintain necessary training and certifications as required by state regulations.
  • Assist with special projects and perform other duties as assigned.

Qualifications

  • High School Diploma or GED is required; an Associate's degree is preferred.
  • A minimum of two years of experience in an administrative role, with a preference for experience in business administration, bookkeeping, accounting, or budget management.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).
  • Strong verbal and written communication skills.
  • Preferred involvement in community activities.
