Job Title: Administrative Assistant I

About the Job

First Choice Community Healthcare is seeking an Administrative Assistant to join our team. As an Administrative Assistant, you will provide administrative support to our team, ensuring the smooth operation of our office.



Key Responsibilities

  • Coordinate and perform a range of staff and operational support activities;
  • Provide administrative support in special projects and events;
  • Provide administrative support for the organization, including answering telephones and referring administrative problems and inquiries;
  • Schedule and coordinate meetings, events, and appointments for supervisors;
  • Prepare and assist with the entering of data for statistical and narrative reports;
  • Establish, maintain, and update files, databases, records, and documents;
  • Perform basic information gathering and data entry, as specifically directed;
  • Sort, screen, review, and distribute incoming and outgoing mail;
  • Perform miscellaneous job-related duties as assigned;


Requirements

To be successful in this role, you will need:



  • A high school diploma or GED;
  • A valid New Mexico driver's license and reliable personal transportation;
  • Effective communication and organizational skills;
  • The ability to identify and refer problems to the appropriate department;
  • Receptionist and word processing skills;
  • The ability to maintain calendars and schedule appointments;
  • Knowledge of travel and lodging planning and scheduling;
  • Basic accounting principles;
  • Database management and records maintenance skills;
  • Knowledge of supplies, equipment, and services ordering and inventory control;
  • Knowledge of compliance programs and the ability to cooperate fully and comply with laws and regulations;


Working Conditions

This position requires a person to be able to prioritize and respond to the diverse demands of the position. There are frequent opportunities to relax from any physical exertion, change position in work activities, or break from computer application tasks.



Physical Effort and Dexterity

  • Good dexterity to operate personal computers and office equipment.
  • Occasional lifting and carrying related to office duties.


Machines, Tools, Equipment Required to be Operated

  • Capable of using office machines and personal computers for word processing, data entry, and spreadsheet applications.


Visual Acuity, Hearing, and Speaking

  • Must be able to read a computer monitor and outputs accurately.
  • Must be able to communicate clearly and accurately for work and safety compliance.


Environment/Working Conditions

  • Work is mostly inside an office in a controlled environment.
  • Normal office safety precautions and practices are required.
  • Work regularly scheduled Monday-Friday, although weekends and evenings may be required to meet with members of the Board of Directors and meet deadlines.
