Administrative Coordinator

Job Summary:
We are seeking a highly organized and tech-savvy Administrative Coordinator to support our team at AIREM Modern Beauty Rituals. As a key member of our operations team, you will provide crucial administrative support and manage scheduling activities to ensure efficient operation of our office.
Responsibilities:
Scheduling and Coordination:
- Manage patient schedule book for multiple practice locations and the CEO's personal and professional calendar, external events, meetings, and conferences.
- Coordinate travel arrangements and accommodations for the CEO.
- Ensure timely reminders and follow-ups on appointments.
Administrative Support:
- Prepare and distribute communications, such as memos, emails, reports, and other documents.
Look ahead between patient schedule and professional/personal calendar to better assist and prepare CEO for the work weeks ahead- Maintain organized filing systems, both electronic (Google Drive) and physical- Handle sensitive information in a confidential manner.
Office Operations:
- Monitor and coordinate staff scheduling, ensuring proper clock-in and out for payroll purposes.
- Assist with Operations, Marketing, HR projects and tasks, as directed
- Assist in organizing office events and meetings.
Requirements:
- Proven experience as an administrative assistant, working with patient scheduling, or background in healthcare operations/administration
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets),
- Excellent time management skills and ability to prioritize tasks.
- Strong organizational skills with a keen attention to detail.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Experience with scheduling software or calendar management tools.
- Familiarity with basic accounting principles.
- Ability to work independently with minimal supervision.

AIREM Modern Beauty Rituals is a Korean beauty inspired medical spa in the U.S. We offer medical-grade skincare, aesthetic treatments, beauty retreats, and aesthetic surgery in a brand new state-of-the-art facility. This is a part-time position to start, with room to grow to full time hours. Location will be in-person in Syosset, LI and may require travel to other office locations (NYC and Hamptons) as needed.
