PRIMARY DUTIES:
  • Assists the Human Resources division with various administrative responsibilities.
  • Delivers exceptional customer service while maintaining professionalism and confidentiality.
  • Facilitates the onboarding process for new hires, including the preparation of orientation materials and necessary paperwork.
  • Supports the management of the employee engagement platform.
  • Collaborates with HR Business Partners to generate reports, draft correspondence, process referral bonuses, prepare for recruitment events, and maintain records of performance evaluations and unemployment claims.
  • Participates in recruitment activities, such as posting job openings, processing new hire documentation, and conducting background checks and reference verifications as required.
  • Oversees the tuition reimbursement and employee discount initiatives.
  • Monitors employee licensing and certification requirements (e.g., RN, LPN, PA).
  • Assists the Benefits and Operations Administrator with updates in the HRIS, including creating benefit termination letters, processing 401k adjustments, preparing reports, managing benefit enrollments, handling open enrollment, and processing leave requests.
  • Promotes wellness programs and initiatives.
  • Coordinates annual compliance tasks, including ACA reporting, labor department documentation, OSHA logs, and labor law postings.
  • Conducts employment verifications.
  • Arranges meeting spaces and coordinates catering services.
  • Processes invoices related to Human Resource functions.
  • Issues parking permits and identification badges for employees. Orders necessary supplies.
  • Prepares various documents, spreadsheets, presentations, correspondence, and reports.
  • Handles copying, faxing, and other clerical tasks as needed.
  • Assists in organizing annual events and programs.
  • Coordinates bereavement leave and orders flowers for staff when appropriate.
  • Maintains strict confidentiality in accordance with HIPAA guidelines and company policies.
  • Performs additional duties to uphold the mission, vision, and values of InterMed.

QUALIFICATIONS:
  • Education:
    • An associate degree in a business-related discipline is preferred.
  • Experience:
    • Preferred two years of experience as an Administrative Assistant or Human Resources Assistant.
  • Ability to build trust and respect through prompt, accurate, and helpful responses and innovative ideas.
  • Proficient in Word, Excel, PowerPoint, and Outlook at an intermediate to advanced level.
  • Capable of adapting to changes in the work environment, managing competing priorities, and handling unexpected events.
  • Strong listening skills with effective verbal and written communication abilities.
  • Able to manage sensitive and confidential employee information responsibly.
  • Exceptional organizational skills and attention to detail.
  • Ability to categorize and analyze information, work independently, and prioritize multiple tasks and projects.
