Position Summary:

This role is situated within the Office of the DoD Chief Information Officer. Ideal candidates will be proactive self-starters, capable of managing tasks independently while thriving in a collaborative team environment. Responsibilities encompass calendar management, tracking deadlines, prioritizing workloads, facilitating communications, and overseeing document management to support the OSD mission.

Key Responsibilities:

  • Assist government personnel with administrative frameworks, file organization, records management, and preparation of briefing materials.
  • Oversee calendar management and scheduling, adapting to urgent changes and prioritizing tasks effectively.
  • Handle operational responsibilities related to human resources, IT, security, and facilities management, including answering phone calls and welcoming guests.
  • Facilitate the onboarding process for new personnel, including managing necessary documentation.
  • Coordinate and oversee all government-furnished equipment for new hires.
  • Manage access to secure facilities and ensure compliance with security protocols.
  • Address IT and network issues as they arise.
  • Assist with the off-boarding process for departing staff.
  • Review and route correspondence documents to appropriate offices for response through the Correspondence and Task Management System (CATMS).
  • Develop and maintain an internal tracking system for correspondence, memos, letters, and other important documents.
  • Produce written materials in accordance with established DoD guidelines for correspondence management.
  • Perform additional responsibilities and tasks as assigned.

Work Environment:

This position requires on-site work, with some flexibility for hybrid arrangements.

Qualifications:

  • Bachelor's degree with a minimum of 5 years of relevant experience, or a high school diploma with at least 9 years of related experience.
  • Top Secret clearance with SCI eligibility required at the time of hire.
  • Expertise in the English language for crafting all forms of DoD correspondence, including emails and memos.
  • Proven experience supporting operations within an Office of the Secretary of Defense (OSD)/Joint Staff/Interagency context.
  • Familiarity with the structure and missions of the OSD and its components.
  • High proficiency in Microsoft Office Suite, particularly Word, PowerPoint, and Teams.
  • Demonstrated ability to excel in a fast-paced team environment, adapt to rapidly changing requirements, and manage multiple tasks effectively.
