Position Summary

The Front Desk role encompasses a variety of clerical responsibilities that are both intricate and technical, aimed at supporting general office functions and ensuring a seamless operation. This position is essential for managing patient interactions, including scheduling appointments, processing check-ins and check-outs, collecting payments, and handling phone inquiries. Additionally, the role involves assisting with the management of patient records and billing processes as needed.

Key Responsibilities:

  • Collaborate with the Corporate Office and affiliated entities within the Health System.
  • Engage with Corporate Management, Administrative staff, and Medical professionals.
  • Manage incoming calls and direct them to the appropriate departments.
  • Coordinate patient appointment scheduling in line with established provider quotas.
  • Facilitate patient check-ins and notify clinical personnel accordingly.
  • Process payments for services rendered and manage patient check-out procedures.
  • Organize and maintain patient records in the designated Records Room.
  • Confirm patient appointments for the following day as required.
  • Assist in the processing of patient chart information for faxing or mailing to relevant entities, ensuring proper authorizations are documented and filed.
  • Send records requests to other organizations with the necessary patient request forms, documenting actions taken and filing requests in the patient’s chart.
  • Support the verification of patient eligibility for sliding scale fee services.
  • Contribute to patient billing tasks as assigned by management.
  • Reconcile daily financial transactions, including cash, checks, and credit card receipts.
  • Maintain a daily postage log for outgoing mail.
  • Perform additional duties as assigned to ensure the efficient operation of the Front Office.

Other related responsibilities may be assigned as necessary to support the overall function of the clinic.

Qualifications:

Education: High School Diploma or GED; some college coursework is preferred.

Experience: A minimum of 6 months of experience in clinical or medical operations is required.

Skills and Competencies: Proficient communication and telephone skills, computer literacy, and familiarity with various office equipment. Ability to multitask effectively in a dynamic medical environment is essential. Excellent communication skills and proper telephone etiquette are mandatory.
