Job Overview

Position Summary

The role involves executing diverse clerical tasks of a complex and specialized nature to support both routine and unique office functions, ensuring a seamless and effective operation. In alignment with the policies and procedures of PanCare of Florida, Inc., responsibilities include scheduling patient appointments, managing patient check-ins and check-outs, collecting payments for services, and handling phone inquiries. Additionally, the position entails assisting with the management of records, patient files, and billing processes as assigned.

Key Responsibilities:

  • Engage with the Corporate Office and affiliated entities within the Health System.
  • Collaborate with Corporate Management, Administrative staff, and Medical personnel.
  • Manage incoming clinic calls and direct them to the appropriate department.
  • Coordinate patient appointments in line with established daily quotas for providers.
  • Facilitate patient check-ins and notify clinical teams accordingly.
  • Process payments for services rendered and assist with patient check-outs.
  • Organize and maintain patient charts in the Records Room systematically.
  • Confirm patient appointments for the following day as designated.
  • Assist in the processing of patient chart information for faxing or mailing to relevant entities, ensuring proper authorization documentation is executed and filed.
  • Send records requests to other entities with the appropriate patient request forms, documenting actions taken and filing requests in the patient’s chart as assigned.
  • Support in verifying patient eligibility for sliding scale fee services.
  • Assist with patient billing tasks as directed by management.
  • Balance daily financial records, including cash, checks, and credit card transactions.
  • Maintain a daily postage log.
  • Perform additional responsibilities as assigned by management to ensure a smoothly operating Front Office.

Engage in other related duties as may be assigned or delegated, contributing to the overall efficiency of the office.

Qualifications Required:

Education: High School Diploma or GED; some college coursework is preferred.

Experience: A minimum of 6 months of experience in clinical or medical operations is required.

Skills and Competencies: Proficient communication and telephone skills, computer literacy, and familiarity with various business machines. Demonstrated ability to manage multiple tasks in a fast-paced medical environment. Excellent communication skills and proper telephone etiquette are essential.
