About the Role

Ruggiero Law Offices LLC is seeking a highly organized and detail-oriented Office Administrator to oversee the firm's administrative and operational functions. As an integral member of the team, you will be responsible for creating and maintaining a pleasant work environment, managing general office tasks, and providing administrative support to management and staff.

Key Responsibilities
  • Oversee daily office operations, maintain office cleanliness, filing systems, presentation materials, office equipment, and supply inventory.
  • Maintain office calendar by scheduling and confirming client meetings, revising block schedule as needed, and updating calendar to reflect holidays, staff meetings, and availability.
  • Greet and accommodate guests and clients, correspond with prospective, current, and former clients, assist with client intake tasks, conduct initial screenings, and redirect clients to appropriate team members as needed.
  • Review, sort, scan, label, and distribute incoming mail, update client files, and correspond with receiving parties; ensure that outgoing mail is properly formatted, arranged, and delivered promptly.
  • Assist attorneys and paralegals with client meetings by setting up conference rooms, making copies, recording meeting notes, and notarizing documents as needed.
Requirements
  • Associates or Bachelor's degree preferred.
  • 2-3 years experience in an office setting or administrative position.
  • Licensed notary public preferred.
  • Strong organization and time management skills in a fast-paced environment.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
