Administrative Coordinator, Neurosurgery

Position Overview
The Department of Neurosurgery at Mass General Brigham is recognized nationally for its excellence, comprising a diverse team of over 27 neurosurgeons, 40 faculty members, 21 residents, and more than 340 staff and volunteers. This department conducts upwards of 4,300 surgical procedures and manages over 20,000 clinical visits, all while expanding its research initiatives. The ideal candidate will become part of a dynamic, multidisciplinary team committed to delivering exceptional, patient-centered neurosurgical care.
Key Responsibilities
- Provide comprehensive administrative support to the Director and Associate Director of the Brain Tumor Immunology and Immunotherapy Laboratories.
- Efficiently manage the calendars of the Director and Associate Director, coordinating meetings and handling all related correspondence.
- Oversee travel arrangements for the Director and Associate Director, ensuring all logistics are meticulously planned.
- Facilitate purchasing processes, including managing invoice payments, reimbursements, and other financial transactions as directed.
- Maintain and organize essential files for the Director and Associate Director, including CVs, biographical sketches, and other critical documents.
- Offer general administrative assistance to lab members associated with the Director and Associate Director.
- Stay informed about all relevant Partners guidelines to ensure compliance.
- Manage the submission and tracking of various agreements, including consulting and confidentiality agreements.
- Assist with the submission and tracking of IRB protocols, IACUC protocols, and trial documentation.
- Collaborate closely with research administration to prepare necessary documents for grant and contract submissions.
- Support the Director and Associate Director with additional tasks as required.
Qualifications and Skills
- Proficient in Microsoft Office Suite, including Excel and other related applications.
