Desert Regional Medical Center is a 385-bed acute-care facility recognized as a stroke receiving center and level 2 trauma center, offering a patient-centered and evidence-based Rehabilitation Services Department. Our dedicated team provides a comprehensive array of inpatient and outpatient services, including acute care rehabilitation, joint replacement & spinal surgery, neurosurgery, ICU, Telemetry, step-down care, skilled nursing, and outpatient therapy, including hand and lymphedema clinics.

Position Overview:

The Office Coordinator plays a crucial role in overseeing and managing all front office operations.

Key Responsibilities:

The Office Coordinator, under the guidance of the Program Director, is tasked with the daily administrative operations of the Wound Care Center, which includes but is not limited to:

  1. Utilizing computer systems for word processing, database management, basic spreadsheet functions, billing, and patient account management.
  2. Managing daily workflow to ensure timely and accurate report and invoice generation.
  3. Creating and maintaining precise data files, including patient records, charges, correspondence, and business operations.
  4. Recording and tracking daily charges, generating necessary reports for hospital and program oversight.
  5. Ensuring consistent and accurate information flow for patient records, accounts, finance, and reimbursement.
  6. Demonstrating knowledge of third-party payer systems, including Medicare, Medi-Cal, and commercial plans, while assisting with patient financial counseling.
  7. Exhibiting strong interpersonal skills to facilitate effective communication with other hospital departments.
  8. Verifying patient insurance and collaborating to monitor preauthorization requirements, addressing denials promptly to optimize reimbursement.
  9. Maintaining responsibility for record-keeping and managing the collection of co-pays.
  10. Administering the Medical Records System in collaboration with clinical staff.
  11. Staying informed about current medical records requirements and applying knowledge of policies regarding confidentiality and data management.
  12. Working with clinic staff to ensure completeness of medical records while safeguarding patient privacy and consent.
  13. Coordinating with relevant departments and wound care physician offices to obtain necessary documentation for coding purposes.
  14. Drafting correspondence to referring physicians based on chart data as directed by management.
  15. Developing and maintaining patient scheduling systems in partnership with medical and clinical staff.
  16. Ensuring prioritized operations flow and effective communication.
  17. Exhibiting proficiency in all reception and communication duties.
  18. Tracking inquiries related to marketing and program growth.
  19. Facilitating patient attendance at scheduled appointments through reminders and support.
  20. Maintaining logs of caller information for follow-up and resolution.
  21. Typing and filing medical and business correspondence accurately.
  22. Managing office supply inventory within budget constraints.
  23. Handling mail, correspondence, packages, and clinical specimens efficiently.
  24. Assisting management with projects and marketing initiatives as needed.
  25. Addressing daily operational issues through appropriate communication channels.
  26. Demonstrating strong organizational skills for prioritizing tasks and ensuring quality follow-up.
  27. Participating actively in program meetings and documenting minutes.
  28. Engaging in mandatory training and professional development opportunities.
  29. Recommending improvements to office functions to management.

Qualifications:

Required:

  1. High school diploma; some college education preferred.
  2. Previous experience in a medical office or hospital clerical role.
  3. Proficiency in word processing, database applications, and spreadsheets.
  4. Exceptional organizational and communication skills, both oral and written.
  5. Experience in medical billing is advantageous.

Shift: Day

Pay Range: $21.65

Compensation is determined based on various factors, including qualifications and experience.
