Our dedicated team offers a comprehensive array of inpatient and outpatient services, including acute care rehabilitation, joint replacement and spinal surgery, neurosurgery, ICU, telemetry, step-down care, skilled nursing, as well as outpatient therapy, hand and lymphedema clinics.
Position Overview:
The Office Coordinator plays a vital role in overseeing and managing all aspects of the front office operations within the Wound Care Center.
Key Responsibilities:
The Office Coordinator, under the guidance of the Program Director, will handle daily administrative tasks of the Wound Care Center, which include but are not limited to:
- Utilizing computer systems for word processing, database management, basic spreadsheet functions, billing, and patient account operations.
- Coordinating daily workflows to ensure timely and accurate production of reports and invoices.
- Maintaining precise data files encompassing patient records, charges, correspondence, and business operations.
- Documenting daily charges and generating necessary reports for the hospital and/or Program Director.
- Ensuring consistent and accurate information flow and documentation for patient records, accounts, finance, and reimbursement.
- Demonstrating knowledge of third-party payer systems, including Medicare, Medi-Cal, commercial, PPO, and HMO systems, while assisting with patient financial counseling.
- Exhibiting excellent interpersonal skills to facilitate smooth communication with other hospital departments.
- Verifying patient insurance and managing ongoing preauthorization requirements, addressing denials promptly to maximize reimbursement.
- Overseeing record-keeping, collection, and transport of funds from co-pay collections.
- Administering the Medical Records System in collaboration with clinical staff.
- Staying informed about current medical records requirements for outpatient departments and applying relevant policies and procedures.
- Collaborating with clinic staff to develop and maintain a comprehensive medical records system that ensures patient privacy and confidentiality.
- Working with relevant departments and wound care physician offices to obtain necessary documentation for coding purposes.
- Generating correspondence to referring physicians based on chart data as directed by management.
- Developing and maintaining patient scheduling systems in conjunction with medical and clinical staff.
- Ensuring prioritized operations and effective interpersonal communications.
- Exhibiting proficiency in all reception and phone duties.
- Maintaining a tracking system for inquiries related to program marketing and growth.
- Assisting patients in keeping scheduled appointments through reminder calls and transportation support.
- Logging all pertinent caller information for follow-up and patient inquiries, ensuring timely resolution.
- Accurately typing and filing medical and business correspondence.
- Managing office supply inventory while adhering to budget constraints.
- Handling mail, correspondence, packages, and clinical specimens efficiently.
- Assisting the Program Director, Clinical Manager, and Clinical Outreach Coordinator with projects and marketing initiatives.
- Addressing daily operational issues through proper communication channels and recognizing when to escalate matters to management.
- Demonstrating strong organizational skills for prioritizing tasks and delegating responsibilities.
- Actively participating in program meetings and maintaining meeting minutes.
- Attending mandatory training and professional development opportunities to enhance skills.
- Providing recommendations to management regarding improvements to office functions.
Qualifications:
Required:
- High school diploma; some college education preferred.
- Previous experience in a medical office or hospital clerical role.
- Proficiency in word processing, database management, and spreadsheet applications.
- Exceptional organizational, oral, and written communication skills.
- Experience in medical billing is desirable.

Pay Range: $21.65
Compensation is determined based on various factors, including individual qualifications and experience.
