Our dedicated team offers a comprehensive array of inpatient and outpatient services, including acute care rehabilitation, joint replacement and spinal surgery, neurosurgery, ICU, telemetry, step-down care, skilled nursing, as well as outpatient therapy, hand and lymphedema clinics.

Position Overview:

The Office Coordinator plays a crucial role in overseeing and managing all aspects of the front office operations.

Key Responsibilities:

The Office Coordinator, under the guidance of the Program Director, is accountable for the daily administrative activities of the Wound Care Center, which includes, but is not limited to:

  1. Utilizing computer systems for word processing, database management, basic spreadsheet functions, billing, and patient account operations.
  2. Managing daily workflows and ensuring the timely and accurate generation of reports and invoices.
  3. Creating and maintaining precise data files, including patient records, billing information, correspondence, and business operations.
  4. Recording and tracking daily charges for each business day, week, and month; producing necessary reports for the Hospital and/or Program Director.
  5. Ensuring consistent and accurate information flow and documentation for patient records, accounts, finance, and reimbursement.
  6. Exhibiting knowledge of third-party payer systems, including Medicare, Medi-Cal, commercial, PPO, and HMO systems, while assisting with patient financial counseling.
  7. Maintaining strong interpersonal relationships with other hospital departments to facilitate smooth information exchange and awareness of system updates.
  8. Verifying patient insurance and collaborating to monitor ongoing preauthorization requirements, addressing any denials promptly to optimize reimbursement.
  9. Overseeing record-keeping responsibilities, including the collection and transport of payments from co-pays.
  10. Administering the Medical Records System in collaboration with clinical staff.
  11. Staying informed about current medical records requirements for outpatient departments and applying knowledge of policies related to confidentiality and record release.
  12. Working with clinic staff to develop and maintain a comprehensive medical records system that ensures the completeness of all files while upholding patient privacy and informed consent.
  13. Collaborating with relevant departments and wound care physician offices to obtain necessary documentation for accurate diagnostic and procedural coding.
  14. Drafting correspondence to referring physicians based on chart data as directed by management.
  15. Developing and maintaining patient scheduling systems in partnership with medical and clinical staff.
  16. Ensuring efficient operations and effective communication with patients and staff.
  17. Demonstrating proficiency in all reception, phone, and interpersonal duties.
  18. Maintaining a tracking system for inquiries related to marketing and program growth.
  19. Assisting patients in keeping their scheduled appointments through reminder calls and support as needed.
  20. Documenting all relevant caller information for follow-up and patient inquiries, ensuring timely resolution.
  21. Accurately typing and filing medical and business correspondence.
  22. Managing office supply inventory in accordance with budget guidelines.
  23. Handling mail, correspondence, packages, and clinical specimens promptly and appropriately.
  24. Assisting the Program Director, Clinical Manager, and Clinical Outreach Coordinator with projects and marketing initiatives.
  25. Addressing daily operational challenges by following established communication channels and recognizing issues for escalation to management.
  26. Exhibiting strong organizational skills for prioritizing tasks and delegating responsibilities effectively.
  27. Actively participating in program meetings and documenting minutes.
  28. Attending mandatory training and professional development opportunities to enhance skills.
  29. Providing recommendations to management regarding improvements or additions to office functions.

Qualifications:

Required:

  1. High school diploma; some college education preferred.
  2. Previous experience in a medical office or hospital clerical role.
  3. Proficiency in word processing, database applications, and spreadsheet software.
  4. Exceptional organizational skills and strong oral and written communication abilities.
  5. Experience with medical billing processes is desirable.

Shift: Day

Compensation: $21.65 per hour, with individual wages determined by various factors including qualifications and experience.
