Position Overview

The Commonwealth of Virginia is seeking qualified candidates for the role of Intermediate/Senior Administrative Coordinator. This position will primarily support operations within a prominent medical facility and contribute to significant healthcare initiatives.

Key Responsibilities
  • Draft and format manuscripts for scientific publications and create presentation materials.
  • Assist in the preparation of grant applications and clinical trial documentation.
  • Manage incoming phone communications.
  • Coordinate and maintain calendars for team members.
  • Facilitate clinic preparation and appointment scheduling.
  • Transcribe notes and correspondence, including administrative records.
  • Review and prioritize incoming correspondence and documents.
  • Organize travel logistics and process reimbursements.
  • Support data entry tasks and database management.
  • Monitor inventory and procure necessary supplies.
  • Assist in the planning and coordination of educational events.
  • Update and maintain faculty curriculum vitae.
  • Manage document scanning and archival processes.
Minimum QualificationsFor Intermediate Administrative Coordinator
  • Education: High school diploma required; Bachelor's degree may substitute for experience.
  • Experience: A minimum of four years in a medical office setting.
  • Skills: Proficiency in Microsoft Office and strong computer skills are essential; familiarity with specific healthcare software is preferred.
For Senior Administrative Coordinator
  • Education: High school diploma required; Bachelor's degree may substitute for experience.
  • Experience: A minimum of six years in a medical office setting.
  • Skills: Proficiency in Microsoft Office and strong computer skills are essential; familiarity with specific healthcare software is preferred.
