Job Overview

Position Summary:

The Office Coordinator II plays a vital role in overseeing the daily administrative operations of the office. This position is responsible for ensuring the smooth functioning of the front office, which includes supervising part-time staff, managing client appointments, coordinating schedules for clinical personnel, and providing exceptional customer service.

Key Responsibilities:

  1. Manage confidential clerical tasks within a professional counseling and consulting environment.
  2. Understand and uphold the confidentiality of psychological services.
  3. Facilitate effective communication with staff and various stakeholders across the institution and community.
  4. Maintain a comprehensive understanding of the office's mission and services, as well as familiarity with other departments within Student Services.
  5. Utilize various software applications, including Word, Excel, and the university's Banner system, along with scheduling and record-keeping tools.
  6. Perform additional tasks as assigned.

Additional Responsibilities:

  1. Exhibit a professional and knowledgeable demeanor in all phone interactions; direct calls to the appropriate personnel.
  2. Serve as the purchasing-card coordinator and assist with budget management tasks as needed.
  3. Process Check Requisitions, Purchase Requests, Travel Authorizations, and Travel Reimbursements.

Qualifications:

  1. High school diploma or equivalent.
  2. Completion of two years of college or university coursework in secretarial or business-related fields, or four years of full-time experience in a business or medical office.
  3. Strong interpersonal skills.
  4. Effective time management and multitasking abilities.
  5. Dependability, reliability, and a professional appearance.
  6. Proficient computer skills commonly found in office environments, with a willingness to learn new software as necessary.
  7. A minimum of two years of experience in a professional business or medical office setting.

Preferred Qualifications:

  1. Two years of experience in a professional business or medical office, including customer relations and standard clerical procedures.
  2. Familiarity with higher education environments and sensitivity to client concerns.
  3. Ability to learn and adapt to policies and procedures typical in educational and professional counseling settings.
