POSITION SUMMARY
The Office Coordinator plays a vital role in ensuring smooth office operations by managing incoming communications and welcoming visitors. This position requires exceptional interpersonal skills and a proactive approach to administrative tasks.
KEY RESPONSIBILITIES include, but are not limited to:
- Managing incoming phone calls and directing them to the appropriate personnel.
- Welcoming and assisting visitors, ensuring a positive experience.
- Maintaining an electronic log of visitor registrations.
- Ordering and managing office supplies and uniforms as needed.
- Coordinating meal orders for staff and management.
- Organizing gifts for various occasions, including birthdays and bereavements.
- Sorting and distributing incoming mail.
- Performing various clerical tasks using Microsoft Office Suite, including Word, PowerPoint, Outlook, and Excel.
- Supporting departments such as Accounting, Customer Service, and Sales with administrative tasks.
- Assisting the Shipping Department with record-keeping and compliance.
- Handling shipping and receiving of small packages.
- Upholding a strong work ethic and taking ownership of assigned tasks.
- Adhering to all safety protocols and company policies.
QUALIFICATIONS
To excel in this role, candidates should possess the following:
- A one-year certificate from a college or technical school, or equivalent experience.
- Strong communication skills, both verbal and written.
- Basic mathematical skills for handling measurements and calculations.
- Problem-solving abilities and adaptability to various situations.
- Physical capability to remain stationary and navigate within an office environment.
WORK ENVIRONMENT
This position is primarily office-based, requiring navigation through workspaces and interaction with various office equipment. The role may also involve exposure to manufacturing areas.
