Position Overview

The Event Coordination Specialist will play a vital role in the organization and execution of both national and regional trade exhibitions and industry gatherings. This proactive position involves assisting with planning, logistics, on-site execution, and collaboration with various teams to ensure successful participation in events that align with our strategic business goals.

Key Responsibilities:

Oversee the annual event calendar, collaborating with teams to coordinate event schedules and manage updates on a quarterly basis. Contribute to the development of comprehensive marketing strategies for trade shows in partnership with the Events Manager and key stakeholders. Aid in the planning and execution of events, ensuring they align with company objectives and budgetary constraints. Manage logistics for event participation, including vendor coordination, fulfillment of sponsorship obligations, and adherence to timelines. Assist in the design and approval of exhibit graphics and the procurement of promotional materials. Prepare and facilitate communication with internal teams regarding pre-event strategies and post-event evaluations. Support the preparation and distribution of materials and communications related to events. Handle invoicing and reconciliation of all event-related expenditures, assisting in budget preparation and management to ensure programs remain on schedule and within financial limits. Conduct administrative follow-up tasks, including lead collection and event analysis. Provide on-site support during events, including booth setup and teardown, vendor management, and resolution of on-site issues.

Qualifications

Bachelor's degree in Marketing, Business, Communications, Event Management, or a related discipline. A minimum of 2 years of experience in event coordination, marketing, or a similar role. Exceptional organizational and multitasking abilities, capable of managing multiple projects and deadlines concurrently. Strong communication and interpersonal skills, with the ability to collaborate effectively with vendors, stakeholders, and team members. Detail-oriented with a proactive approach to problem-solving. Willingness to travel for events as necessary (up to 20% seasonally). Basic analytical skills and familiarity with interpreting event-related metrics.
