Position Overview
The Event Coordination Specialist will play a pivotal role in the organization and execution of national and regional trade exhibitions and industry gatherings. This dynamic position requires active involvement in planning, logistics, on-site management, and collaboration with various teams to ensure that our event participation aligns with strategic business goals.
Key Responsibilities:
Oversee the annual event calendar, collaborating with teams to coordinate schedules, manage event data, and provide quarterly updates. Assist in crafting comprehensive marketing strategies for trade shows in partnership with the Events Manager and key stakeholders. Support the planning and execution of events, ensuring they align with organizational objectives and budgetary constraints. Coordinate logistics for event participation, including vendor relations, fulfillment of sponsorship obligations, and adherence to timelines. Aid in the development and approval of exhibit graphics and order promotional materials. Facilitate communication with internal teams regarding pre-event preparations and post-event evaluations. Assist in the preparation and distribution of event-related materials and communications. Manage invoicing and reconciliation of all event-related expenditures, supporting budget preparation and management to ensure adherence to financial plans. Conduct administrative follow-up tasks, including lead collection and event analysis. Provide on-site support during events, including booth setup and teardown, vendor coordination, and immediate problem resolution.Qualifications
Bachelor's degree in Marketing, Business Administration, Communications, Event Management, or a related discipline. A minimum of 2 years of experience in event management, marketing, or a similar role. Exceptional organizational and multitasking abilities, capable of managing multiple priorities and deadlines effectively. Strong communication and interpersonal skills, enabling effective collaboration with vendors, stakeholders, and team members. Keen attention to detail and a proactive approach to resolving issues. Willingness to travel for events as needed (up to 20% seasonally). Basic analytical skills and familiarity with interpreting event-related metrics.Additional Information
