Key Responsibilities:

  • Deliver comprehensive executive support to the Chief Corporate Affairs & Engagement Officer, which includes preparing for and following up on various internal and external stakeholder engagements. This may involve conducting research, monitoring trends, coordinating logistical arrangements, and ensuring timely communications with participants.
  • Assist in managing daily schedules and meetings, including calendar organization, booking meeting spaces, arranging catering and A/V requirements, and drafting agendas and meeting summaries.
  • Support the department's operational budget and related financial processes, such as creating and processing purchase orders, vendor onboarding, and monthly tracking and reporting of travel and expenses.
  • Oversee general office operations, including mail services, printing, supply replenishment, gifting, and sourcing for corporate projects.
  • Collaborate closely with the department's management committee to organize agendas, coordinate workstreams to advance priorities, and prepare presentations and program summaries, as well as provide support for town hall meetings and events.
  • Effectively manage special project needs in alignment with the broader Corporate Affairs and Engagement team as directed by the Chief Corporate Affairs & Engagement Officer.
  • Facilitate information dissemination and updates by managing an internal communication network.

Qualifications:

  • Bachelor's degree in a relevant field and a minimum of 5 years of experience as an executive assistant, with a solid understanding of community relations, employee engagement, and strategic communications.
  • High level of professionalism in handling sensitive information, with strong attention to detail and problem-solving skills.
  • Proficient in budget management, demonstrating the ability to allocate resources effectively and track expenses to support executive decision-making.
  • A resourceful team player with adaptability and strong written and verbal communication skills, capable of multitasking while maintaining priorities.
  • Experience in cross-functional collaboration, with the ability to build and sustain relationships with internal and external stakeholders.
  • A determined and self-motivated problem-solver who excels in a dynamic, fast-paced environment, capable of prioritizing and meeting evolving deadlines.
  • Proficient in Microsoft Office applications (Outlook, Excel, Word, PowerPoint, Teams).
