Executive Administrative Assistant - Consumer Business Unit

Kelly Professional & Industrial is seeking an experienced Executive Administrative Assistant to deliver comprehensive administrative support for the Consumer Business Unit. This role will assist the General Manager of Consumer and the leadership team, including key positions such as Head of Sales and Head of Marketing. The position will also involve coordinating various business projects and initiatives.

Key Responsibilities:

  • Efficiently manages administrative tasks and oversees daily office operations in alignment with the business's operational needs and in support of the VP & GM Consumer's office.
  • Collaborates with the General Manager to establish a structured framework for leadership meetings, including agenda management and identifying opportunities for ongoing improvements.
  • Facilitates the preparation and coordination of reports, presentations, and other communications. Works closely with leadership and management team members to gather and compile necessary information, ensuring accuracy in formatting and proofreading of business documents.
  • Provides comprehensive support for internal meetings, including planning, note-taking, follow-ups, and scheduling. Organizes conference calls and maintains departmental calendars/agendas as required. Ensures effective organization of meetings and projects, demonstrating adaptability and efficiency in meeting tight deadlines.
  • Handles expense reporting, procurement of office supplies, and coordinates travel arrangements, both domestic and international, following established company processes and travel policies.
  • Oversees all logistical details for summits and meetings, ensuring all aspects such as travel, speaking agendas, and business review items are meticulously addressed to deliver an exceptional experience.
  • Creates and maintains status reports and tracking mechanisms to monitor the achievement of objectives, providing updates to senior management as necessary.
  • Assesses the success of projects and initiatives against established benchmarks, sharing insights and best practices for continuous improvement.
  • Adapts to changes and is willing to adjust priorities as needed.
  • Performs additional duties as assigned by the General Manager of Consumer.

Qualifications:

  • High school diploma required (or GED); Associate's or Bachelor's degree preferred.
  • A minimum of five (5) years of relevant administrative support experience in a corporate setting is essential.
  • Demonstrated proficiency in administrative and clerical functions, procedures, and systems.
  • Experience managing projects from inception to completion is required.
  • Strong proficiency in Microsoft Teams, SharePoint, Outlook, Word, and Excel.
  • Ability to exhibit a high level of technical skills.
  • Excellent verbal and written communication skills; strong grammar is essential.
  • Demonstrated organizational and time management skills; ability to manage multiple projects and responsibilities concurrently.
  • Exhibits a high level of integrity and a strong sense of urgency.

Work Schedule: 8am-5pm / M-F

Employment Type: Temp/Contract role, with potential for permanent placement.
