Position Summary:

The Senior Operations Manager for the Heart Clinic is tasked with overseeing the daily functions of a designated area within The Emory Clinic. This role involves planning and coordinating staff activities to align with the organization's operational standards. The manager will handle resource allocation in accordance with budgetary constraints, ensuring adherence to policies, procedures, and regulatory requirements. The position requires addressing operational challenges as they arise and collaborating with leadership to find effective solutions. The manager is accountable for initiatives that enhance operational efficiency, improve patient satisfaction, and deliver cost-effective healthcare solutions. Regular evaluation of daily operations is essential to guarantee quality patient care and optimize patient flow while supporting the achievement of performance targets and financial objectives.

Resource Management:

  • Develops protocols for procuring medical and office supplies and essential capital equipment.
  • Maintains an inventory system to ensure sufficient supplies and equipment availability.
  • Implements a maintenance program for all office and medical equipment to ensure timely repairs and proper functioning.
  • Oversees the purchasing, receiving, and payment authorization for all necessary equipment and supplies.
  • Engages with vendors to evaluate products and directs capital equipment acquisitions.
  • Ensures timely maintenance and repairs of all equipment.

Financial Oversight:

  • Collaborates with finance teams to integrate financial management responsibilities into clinic operations, including budgeting and inventory control.
  • Works alongside Patient Financial Services to manage billing operations, reimbursement opportunities, and revenue cycle management.
  • Accountable for profitability and adherence to the established budget.
  • Contributes to the growth and sustainability of the assigned section.
  • Ensures accuracy in payroll records and materials management.

Management Responsibilities:

  • Oversees daily clinic operations, including medical records, scheduling, and registration.
  • Implements and monitors policies and procedures to ensure compliance with applicable regulations.
  • Supervises staff performance, providing ongoing feedback and addressing issues as necessary.
  • Conducts periodic audits and assessments to enhance operational efficiency.
  • Collaborates with Quality Management to develop and monitor continuous quality improvement initiatives.

Patient Care and Advocacy:

  • Evaluates operations to ensure high-quality patient care.
  • Communicates effectively with patients and their families as needed.
  • Implements strategies to enhance patient satisfaction.
  • Works with clinical staff to ensure proper implementation of patient therapies and referrals.

Professional Development:

  • Collaborates with management to create a professional development plan.
  • Engages in professional activities to stay updated on industry trends and practices.

Data Management:

  • Responsible for organizing and analyzing operational data, generating reports for management and regulatory agencies.
  • Collaborates with staff to assess information system needs and support the development of electronic medical records.

Staff Development:

  • Coordinates in-service education and training programs for staff.
  • Participates in committees to improve clinical operations and communication.

Minimum Qualifications:

  • Bachelor's degree in business administration, finance, healthcare administration, or a related field required; Master's degree preferred.
  • 3-5 years of healthcare experience required, preferably in an ambulatory setting.
  • Minimum of 2 years of supervisory or managerial experience.
