Senior Administrative Assistant

We are seeking a highly skilled and organized Senior Administrative Assistant to join our OSI Engineering team. This critical role involves coordinating interviews, compiling feedback from clients and our recruitment team, facilitating job offers, and overseeing the onboarding and offboarding processes for technical personnel.

Key Responsibilities:
  • Coordinate recruitment activities, ensuring seamless communication with clients and internal stakeholders.
  • Provide administrative support to our sales team, including scheduling interviews and preparing meeting materials.
  • Assist with various project-related tasks, such as data entry and document management.
  • Collaborate with managers to determine future hiring needs and develop strategies to meet those needs.
  • Compile shortlists of qualified candidates for hiring managers and provide recommendations for interviewees.
  • Onboard new hires, ensuring a smooth transition into their roles.
  • Develop and maintain knowledge of our Applicant Tracking System (ATS) and other recruitment tools.
Requirements:
  • Minimum 1 year of experience in the staffing industry, with a focus on recruitment coordination.
  • Proficiency in Microsoft Excel and other Microsoft Office tools.
  • Excellent verbal and written communication skills, with the ability to adapt to changing situations.
  • Previous experience in a corporate setting, with a focus on recruitment and administrative support.
  • Demonstrated ability to work independently and as part of a team, with a strong attention to detail.
Preferred Qualifications:
  • 2 years of experience in recruitment coordination and proficiency in an ATS.
  • Experience posting jobs in ATS, submitting resumes to clients, and scheduling interviews via Teams.
  • Excellent note-taking abilities and the skill to revise job descriptions as needed.
  • Ability to compile shortlists of qualified candidates for hiring managers.
  • Collaboration with managers to determine future hiring needs.
  • Onboarding support for new hires.
  • Strong decision-making capabilities.
  • Proficient in Microsoft Office 365, particularly Excel and SharePoint.
Education:

A Bachelor's Degree in Human Resources is preferred.

This is a remote position, requiring candidates to be available during standard business hours (8:30 AM - 5:30 PM), 5 days a week. Preference will be given to candidates residing on the West Coast, especially in California.

Salary Range: $55,000 to $70,000 annually (DOE)
