Position Overview:


Imagine utilizing your skills in a dynamic environment where you will support C-level executives by providing timely implementation and assistance across various departments through a range of diverse and confidential administrative tasks that require a solid understanding of organizational protocols while ensuring confidentiality.

In this role, you will leverage your expertise in scheduling, research, policy execution, data interpretation, database management, task coordination, project oversight, and basic financial acumen.

Your Impact:


In this position, you will:

  • Manage administrative responsibilities, including maintaining an active calendar of meetings, drafting and preparing correspondence that may be confidential, and organizing detailed travel arrangements, itineraries, and agendas.
  • Produce high-quality documents (PowerPoint, Excel, Word, etc.) suitable for executive-level review, demonstrating the ability to transform information and concepts into polished professional materials.
  • Research, prioritize, and follow up on incoming issues and concerns directed to the Executive, including sensitive or confidential matters.
  • Handle confidential information related to company operations, including the preparation of executive-level correspondence.
  • Establish and nurture relationships essential to the organization's success while managing various special projects for the Executive.
  • Plan, coordinate, and ensure adherence to the Executive's schedule, resolving any scheduling conflicts that may arise.
  • Communicate directly and on behalf of the Executive regarding matters related to their initiatives and objectives.
  • Work closely with the Executive to keep them informed of upcoming commitments and responsibilities, following up as necessary.
  • Complete critical aspects of deliverables with a hands-on approach, including drafting letters and correspondence.
  • Prioritize competing needs, manage tasks efficiently, and ensure successful project completion, often under tight deadlines.


Your Qualifications:


To be successful in this role, you should possess:

  • A minimum of three (3) years of progressively responsible experience in office and administrative support, with at least two (2) years dedicated to supporting a C-level executive.
  • The ability to remain composed under pressure and proactively seek solutions.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills that demonstrate the ability to manage and prioritize multiple tasks with meticulous attention to detail.
  • Excellent interpersonal skills, with the ability to build relationships with both internal and external stakeholders.
  • Exceptional written and verbal communication skills.
  • A proactive approach to problem-solving, coupled with strong decision-making capabilities.
  • A proven track record of handling confidential information with discretion and adaptability to various competing demands, while providing the highest level of customer service.
  • A demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.


Education:

Bachelor's Degree or relevant coursework in accounting, administrative management, or data processing is preferred.

Certification as a Certified Administrative Professional (CAP) is also preferred.



Compensation:

Salary range: USD $57,000 - $77,763.97 annually.
