About the Role

Felton Institute is seeking a highly organized and detail-oriented Administrative Manager I to support our Senior Division programs in San Francisco. As a key member of our administrative team, you will play a critical role in ensuring the smooth operation of our programs, providing exceptional support to our staff, and contributing to the success of our organization.

Key Responsibilities
  • Oversee chart health for Senior Division programs, including monitoring task completion, coding, and billing issues.
  • Perform office administration, including mail, packages, and equipment management.
  • Manage office supplies, flex funding, and petty cash, and prepare ROEs for payment of invoices and staff reimbursements.
  • Maintain client information in CIRCE and CareLink, including opening and closing client episodes, accessing information, and updating billing information.
  • Assist Program Directors with program monitoring and auditing, and maintain MediCal and Compliance Binders.
  • Generate and format reports using computer software skills, including spreadsheets, word processing, database management, and EHRs.
  • Support Program Managers/Directors in monitoring program objectives, completing monthly report summaries, and assisting with annual BOCC performance objective reports.
  • Complete Pre-Upload Check before monthly billing upload and reconcile monthly billings in CIRCE and CareLink.
  • Prepare and assist with employee onboarding and offboarding activities.
  • Coordinate matters requiring Division Director and Program Directors approval within the Senior Division.
Requirements
  • Minimum 2 years of experience in an assistant/supportive role, preferably in a mental health program.
  • Ability to work in the office, adhere to COVID-19 protocols, and perform some lifting and walking.
  • Knowledge of the San Francisco Mental Health system is a plus.
  • Working knowledge of computer software, including Microsoft Word, Excel, and Access, and Adobe.
  • Strong organizational, interpersonal, and communication skills.
  • Exceptional time management skills and ability to prioritize projects.
  • Ability to work independently with direction and support, and be a team player.
