Job Summary:

This is an exciting opportunity to join our team as an Executive Assistant II. As a key member of our organization, you will provide administrative support to our executives, ensuring seamless day-to-day operations and strategic initiatives.

Key Responsibilities:

Proactively manage calendars, scheduling appointments and meetings in multiple time zones.
Accommodate last-minute changes and urgent business needs as required.
Develop and implement effective calendar management strategies to optimize executive time.
Flag and problem-solve constraints, such as determining delegates and ensuring read-ahead materials.
Coordinate monthly activities, including consolidating organization charts, distribution lists, and compiling information.
Manage team calendars, ensuring they are up-to-date and accessible.
Provide detailed itineraries for trips, including hotel arrangements, transfers, meetings, and contact details.
Arrange and manage meetings, including scheduling conference rooms, coordinating food and logistics.
Assist in tracking team expenditure and monitoring T&E and budget.
Support recruitment efforts, scheduling interviews and associated tasks.
Perform other related projects and duties as requested.

Requirements:

Experience as an executive assistant in a fast-paced environment for large global companies.
Ability to anticipate needs, ask the right questions, and escalate matters accordingly.
Highly proficient technical skills, including Microsoft Outlook, Excel, Word, and PowerPoint.
Proficiency in using macOS and Slack.
Highest degree of integrity, professionalism, diplomacy, and discretion required.
Capable of handling multiple tasks efficiently and meeting tight deadlines.
Excellent verbal and written communication skills.
Highly developed organizational and time management skills with careful attention to detail.
Ability to prioritize and manage multiple tasks simultaneously.
