Key Responsibilities:
The office operations specialist plays a crucial role in executing various administrative and clerical functions. By managing these tasks, they provide essential support for all project-related activities.
- Foster and maintain a positive and professional rapport with clients and contractor personnel.
- Demonstrate strong interpersonal abilities.
- Effectively manage multiple responsibilities simultaneously.
- Exhibit excellent time management skills with the ability to prioritize tasks efficiently.
- Possess outstanding written and verbal communication capabilities.
- Show proficiency in computer applications, particularly Microsoft Office Suite: Word, Excel, PowerPoint, etc.
- Assist in the completion of permitting processes and support construction operations through inventory audits and documentation reviews.
- Utilize office equipment such as telephones, printers, and photocopiers competently.
- Organize and maintain files and records, ensuring confidential documents are updated and accessible.
- Plan and coordinate meetings, presentations, and other office events; send reminders regarding upcoming appointments and manage catering needs.
- Oversee the flow of information in and out of the office; draft correspondence, including letters, emails, and memos.
- Provide support to departmental managers and staff as needed.
- Exhibit a willingness to learn and grow within the company, taking on additional responsibilities as they arise.
- Work independently and efficiently without direct supervision.
