JOB RESPONSIBILITIES:
Collects pre-visit information from patients, families, or healthcare facilities for scheduled appointments. Secures financial updates, documents them in the billing system, completes necessary forms, and obtains required signatures. Verifies and updates patient information while providing assistance to both patients and medical personnel. Proficiently locates and retrieves medical reports and records as needed. Directs patients to financial advisors when billing inquiries arise. Coordinates with social services for patient needs, including transportation and medication requests. Forwards medical records requests to the designated records department. Schedules appointments with referring and future physicians as directed, ensuring all necessary documentation is sent. Maintains up-to-date records of patient appointments and schedules in the system. Investigates instances of missed appointments, documenting reasons and ensuring appropriate follow-up. Reschedules canceled appointments, ensuring all patients receive timely follow-up. Keeps daily records of completed tasks to provide data for monthly reporting. Conducts regular reviews of patient information to update electronic medical records or billing systems, notifying relevant personnel as necessary. Welcomes, screens, schedules, and directs patients, ensuring they are acknowledged upon arrival. Prepares and manages correspondence, responding to routine inquiries and drafting letters. Oversees the operation of the front office multifunction device. Prepares and sends new patient packets, including informational materials. Engages in cross-training to learn about other clinic operations. Processes electronic medical record messages and manages worklist queues.ADDITIONAL REQUIREMENTS: Travel to satellite locations may be necessary.

EDUCATION AND CERTIFICATION:
High school diploma or equivalent. Associate degree in business administration or a related field is advantageous. Valid driver's license required.EXPERIENCE AND SKILLS:
At least one year of experience in customer service is required; experience in a medical office is preferred. Familiarity with electronic medical record systems is a plus. Strong understanding of medical terminology and office procedures. Proficient in computer skills and operation of basic office equipment. Knowledge of grammar, spelling, and punctuation. Effective time management and organizational skills. Ability to comprehend and follow both oral and written instructions. Clear and concise communication skills. Ability to build and maintain effective relationships with patients, team members, and the public.REASONING ABILITY:
Capable of addressing practical problems and managing various concrete variables in situations with limited standardization. Ability to interpret a variety of instructions provided in written, oral, or schedule form.INTERPERSONAL SKILLS:
Must effectively communicate both verbally and in writing. Must interact with physicians and other departmental personnel while maintaining patient confidentiality.PHYSICAL DEMANDS:
