An Administrative Support Specialist is required for a cardiac research facility on a part-time basis. The ideal candidate will be responsible for a variety of administrative and office support tasks to assist the Manager in ensuring the smooth operation of the organization. The role demands a versatile individual capable of managing multiple responsibilities in a dynamic environment.

Key Responsibilities:
  • Exhibit a high level of precision and meticulousness.
  • Compile, organize, and maintain both physical and digital records.
  • Handle multi-line phone systems, coordinating appointments and procedures.
  • Confirm insurance details and secure necessary referrals.
  • Welcome patients and visitors, providing assistance to staff as required.
  • Manage outgoing mail, faxes, filing, and scanning of documents.
  • Perform extensive clerical tasks, including filing and sorting.
  • Gather documentation from various sources.
  • Evaluate, organize, and categorize documentation.
  • Create and update files, ensuring proper filing of documents.
  • Dispose of outdated files in accordance with established protocols or transfer them to inactive storage.
  • Retrieve records upon request and distribute them to appropriate parties.
  • Make copies of records and deliver them as needed.
  • Implement authorized modifications to the filing system.
  • Assist with phone inquiries when necessary.
  • Receive and relay mail and courier packages.
  • Possess a reliable vehicle and a valid Driver's License for running errands as required.
  • Uphold patient confidentiality and safeguard all Protected Health Information (PHI).
