Job Overview

Position Summary

The Patient Intake Specialist is responsible for facilitating the Medicaid application process for individuals associated with our healthcare partners. This role involves collecting and processing essential information for both current and former patients, ensuring a smooth transition towards Medicaid approval, which is vital for timely reimbursements to our partner facilities.

Key Responsibilities

  • Engage with patients to assess Medicaid eligibility based on referrals from partner healthcare facilities, utilizing both telephonic and in-person communication.
  • Assist patients in enrolling in health insurance plans through the Marketplace or by completing necessary documentation for submission to local social services.
  • Handle, verify, and process sensitive information with the utmost confidentiality.
  • Utilize various resources to confirm and update patient contact details.
  • Investigate and resolve issues related to Medicaid applications.
  • Extract relevant data from healthcare databases.
  • Request third-party information and ensure that received documents align with requests.
  • Compile reports on outstanding accounts for management review.
  • Confirm insurance coverage through online platforms or direct communication with insurance providers.
  • Maintain the internal database with comprehensive records of all actions taken on patient accounts.
  • Monitor the status of applications via the Marketplace and communicate with local departments as necessary.
  • Track the progress of denied applications through the Fair Hearing process.
  • Prepare and analyze reports on active accounts using spreadsheet software.
  • Coordinate and schedule meetings with patients.
  • Manage appointment calendars effectively.
  • Respond to requests for additional documentation from relevant agencies.
  • Ensure compliance with HIPAA regulations regarding the handling of protected health information (PHI).

Qualifications

  • High School Diploma or equivalent is required.
  • Fluency in Spanish, both spoken and written, is essential.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is necessary.
  • Ability to work onsite at various healthcare facilities.
  • Experience in healthcare or insurance sectors is advantageous.
  • Familiarity with ePACES and LexisNexis is beneficial.
  • Strong internet navigation skills and the ability to learn new databases quickly.
  • Excellent research and investigative skills.
  • Strong communication skills, both written and verbal, are required.
  • Prior administrative experience, including phone communication, information research, appointment scheduling, and document management.
  • Ability to multitask efficiently.
  • High organizational skills and attention to detail.
  • Commitment to adhering to client policies and maintaining professionalism at all times.

Work Environment

  • Travel to various client locations may be required.
  • Physical demands include moving within the work area, sitting for extended periods, and using office equipment.
  • Mental demands require the ability to follow instructions, collaborate effectively, and manage stress.
  • The typical noise level in the work environment is minimal.
