About This Role

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at Integrated Building Solutions. As an Office Coordinator, you will play a critical role in supporting our operations and ensuring the smooth day-to-day functioning of our office.

Key Responsibilities
  • Manage and maintain accurate and up-to-date records and files, including accounts payable and receivable, and other financial documents.
  • Coordinate travel arrangements and itineraries for superintendents and project managers.
  • Assist in qualifying business partners and maintaining business partner documents.
  • Support directors with administrative tasks, including talent acquisition, marketing initiatives, and office supplies.
  • Perform bookkeeping tasks, such as invoicing and reconciling credit card statements.
  • Communicate with internal and external customers to gather data and provide information.
Requirements
  • Minimum of three (3) years of experience working in a supporting office role, preferably in commercial construction.
  • High school diploma with trade and/or college in a related field.
  • Excellent organizational and time management skills, with attention to detail and ability to prioritize tasks.
  • Strong written and verbal communication skills, with ability to communicate effectively with peers, clients, and vendors.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience using accounting software.
