We are seeking a detail-oriented and proactive Administrative Assistant to support our dynamic team at Oregon Generators. This position is crucial in ensuring the smooth operation of our business functions and enhancing our customer interactions.

Compensation: $25.00-$32.00 per hour, based on experience

Working Hours: Monday to Friday; 7:00 am - 4:00 pm

Role Summary: The Administrative Assistant will provide essential support to our Sales Operations team by managing information requests and performing various clerical tasks. This includes preparing correspondence, engaging with customers to understand their needs, scheduling consultations, and coordinating installations and appointments for our Field Staff. The role involves handling sensitive and confidential information.

Key Responsibilities:

  • Engage with customers via phone, focusing on exceptional service
  • Draft reports, memos, and other documents using relevant software
  • Manage general office tasks such as supply ordering and record-keeping
  • Organize and maintain filing systems for documents and reports
  • Receive deliveries and assist in inventory management
  • Prioritize and follow up on incoming issues and concerns
  • Determine appropriate actions and responses for field staff and customers
  • Schedule meetings and appointments efficiently
  • Enhance administrative systems for improved efficiency
  • Answer and direct phone calls appropriately
  • Contribute to team goals by achieving related results
  • Perform additional duties as assigned

Qualifications:

  • Minimum of 3 years in customer service, administrative, or project management roles
  • Strong customer service skills
  • Able to multitask in a fast-paced environment
  • Excellent organizational abilities
  • High school diploma or GED required
  • Proven ability to maintain confidentiality
  • Proficient in Microsoft Office Suite and Google Workspace
