Role Summary: The Administrative Assistant plays a vital role in supporting our Sales Operations team by managing information requests and performing various clerical tasks. This includes preparing correspondence, engaging with customers, coordinating consultations, and scheduling appointments for our Field Staff. The role requires handling sensitive and confidential information with discretion.

Key Responsibilities:

  • Engage with customers via phone, focusing on exceptional service
  • Draft reports, memos, and correspondence using relevant software
  • Manage general office tasks such as supply ordering and record-keeping
  • Organize and maintain document filing systems
  • Receive and manage deliveries, ensuring inventory is well-maintained
  • Prioritize and address incoming issues and concerns, including sensitive matters
  • Determine appropriate actions and responses for field staff and customers
  • Schedule meetings and appointments efficiently
  • Enhance administrative systems for improved efficiency
  • Handle phone calls, directing them to the appropriate parties or taking messages
  • Contribute to team objectives by achieving related results
  • Perform additional duties as assigned

Qualifications:

  • Minimum of 3 years in customer service, administrative, or project management roles
  • Strong customer service skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Excellent organizational abilities
  • High school diploma or equivalent
  • Proven ability to maintain confidentiality and exercise discretion
  • Proficient in Microsoft Office Suite, Google Docs, and Dropbox
  • Background check required upon conditional offer of employment
