Responsibilities:
Service Request Management:
  • Receive and log incoming service requests from customers.
  • Prioritize service calls based on urgency and customer needs.
  • Coordinate with customers to schedule appointments and confirm service details.

Customer Communication:
  • Serve as the primary point of contact for customers regarding service inquiries and updates.
  • Communicate service timelines and expected outcomes to customers.
  • Address customer concerns or complaints promptly and professionally.

Administrative Support:
  • Maintain accurate records of service calls, technician activities, and customer interactions.
  • Generate service reports and invoices for completed jobs.
  • Assist with inventory management and procurement of parts and supplies.

Quality Assurance:
  • Ensure that all service jobs meet company standards and customer expectations.
  • Conduct follow-up calls to gather customer feedback and assess satisfaction levels.
  • Identify areas for process improvement and implement corrective actions as needed.

Qualifications:
  • Minimum of 2 years administrative experience
  • Proven experience in a similar role, preferably in the HVAC industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication abilities.
  • Proficiency in computer software systems, including scheduling and customer service tools.
  • Knowledge of HVAC systems and terminology is a plus.
