The Role:

The core responsibilities of the HR Administrator is to maintain and update employee records, as well as manage various HR documents and internal databases.

HR administrators act as the first port of call to employees and external partners for all HR related queries. As a priority, HR administrators handle the majority of employee documentation, including contracts and recruitment paperwork. The HR Administrator will support the HR department in ensuring smooth and efficient business operations. This role involves a wide range of HR tasks, including, maintaining employee data and records, supporting HR projects, managing incoming mail, responding to unemployment claims, employee onboarding and providing administrative support to all employees. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle sensitive information confidentially.

Duties and Responsibilities:

  • Serve as first point of contact for employees on any HR related queries
  • Manage the HR department's Outlook inbox.
  • Handle and distribute incoming office mail for various departments, ensuring proper routing and timely delivery.
  • Respond promptly to unemployment claims to avoid chargebacks and ensure all responses are handled in a timely manner.
  • Respond to employee inquiries regarding HR policies, procedures, and benefits.
  • Maintain and update employee records and files, ensuring all documentation is current and compliant with company policies and legal requirements.
  • Maintain I-9 recordkeeping
  • Updating databases internally (Success Factors, Learning, Viewpoint HR portal)
  • Process employee changes such as promotions, transfers, and terminations.
  • Provide administrative support to the HR department, including scheduling meetings, preparing reports for various departments, and managing HR-related correspondence.
  • Support with updating HR documents, i.e. onboarding documents and recruitment guides
  • Helping with various arrangements internally, from travel to job sites, to processing supply requests for all onboarding sites
  • Support new-employee orientations at headquarters
  • Provide support in various HR projects and initiatives.
  • Communicate and organize training with external partners
  • Perform other related duties as required and assigned.

Technical Knowledge and Skills:

  • Experience with HRIS systems preferred.
  • Working experience using Success Factors and/or Kronos preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Qualifications:

  • Bachelor's degree in Human Resources Management or a related discipline preferred.
  • Minimum 2 years' experience in Human Resources.
  • Excellent verbal and written communication and listening skills required.
  • Self-starter, strong interpersonal communication skills with all levels of colleagues, comfortable working with executive management.
  • Ability to handle sensitive and confidential information with discretion.
