Our Reservationist team is expanding We are looking for a professional and detail-oriented VIP/Trade Coordinator to assist and build strong relationships with our high-profile clients. This individual will serve as the main point of contact for all VIP, Trade, and high-profile guests, and will handle inbound and outbound calls and emails for 3 iconic brands: JUSTIN Vineyards & Winery, Landmark Vineyards, and Lewis Cellars. The VIP/Trade Coordinator will ensure that all forms of communication are clear and succinct, with a focus on enhancing the guest experience, booking conversation, and sales.This role offers high visibility and potential for future growth within the organization. Job Description
  • Promptly answer the phone using a positive and clear voice. Graciously receives guest communication, offering appropriate suggestionsfollow-up as needed
  • Maintains and upholds 5-star service standards
  • Promptly respond to guest emails and text messages with proper verbiage and answers
  • Create/build strong relationships with VIP/Trade guests
  • Support and work closely with Luxury Accounts management team
  • Maximize profit by upselling/cross-selling events and experiences
  • Manage, track, and report on guest feedback, with a business development mindset
  • Promptly completes the reservation process for multiple outlets and events by inputting and retrieving information from a computer systemconfirming pertinent information
  • Maintain the VIP and tour calendars and bookings. Ensure all operational teams and staff are aware of important visitors, private tours, etc.
  • Utilize active listening skills to understand guest requests. Respond with appropriate actions.
  • Be familiar with local restaurants and attractions, including wine tours, tastings, events, etc., and use this information to enhance the guest experience
  • Remain calm and alert, especially during emergencies and/or busy days.
  • Resolve customer complications and complaints with the assistance of management by using good judgment to determine the most effective solution
  • Suggest and create processes that grow the business
Qualifications
  • One (1) year experience in a hospitality, receptionist or consumer-facing role. Experience with the reservations systems Tock and OpenTable preferred
  • Luxury clientele experience highly preferred
  • High School/GED required
  • Experience with reservation systems and multi-line telephone system preferred
  • Demonstrated strong ability to work well under pressure
  • Ability to establish direction, obtain commitment and execute appropriate logistical processes
  • Analyticalsynthesizes complex and diverse information
  • Identifies and resolves problems in a timely manner and gathers and analyzes information skillfully and collaboratively
  • Possess excellent and professional verbal and written communication skills
  • Looks for ways to improve and promote quality and demonstrates accuracy and thoroughness
  • Prioritizes and plans work activities, uses time efficiently and develops realistic action plans.
  • Ability to stay motivated and work individually and as a team to achieve overall sales goals
Pay Range: $20.00 - $22.00 per hour. Final compensation will be dependent upon skills and experience.
