Overview

The Project Coordination Specialist plays a vital role in supporting the management of projects from initiation to completion under the guidance of a Project Manager. This position involves assisting a Project Manager, Senior Project Manager, or multiple Project Managers in the planning, directing, and coordinating of construction operations, procurement, financial reporting, and project control activities for a designated portfolio of concurrent electrical projects. The Project Coordination Specialist is actively engaged in all facets of project execution, including proposals, procurement, contract negotiations, and overseeing project operations and financial performance. This role collaborates with the project team to ensure that work is completed within a pre-established budget and strives to meet or exceed set objectives. The Specialist works alongside other project support staff to achieve goals, investigate, and implement strategies to enhance the efficiency and profitability of all projects.


Responsibilities

  • Facilitate engineering studies, change orders, estimating, and liaise with engineers.
  • Manage submittals and requests for information.
  • Engage with owners and clients regarding specifications and technical inquiries during the planning phases.
  • Participate in projects during the planning stages.
  • Coordinate with owners or clients on project planning.
  • Collaborate with regional managers on project status updates.
  • Draft subcontracts and purchase orders.
  • Monitor job costs and forecast monthly revenue streams.
  • Oversee quality assurance and quality control on projects.
  • Identify, investigate, and resolve all contract disputes with the Owner.
  • Maintain the prime contract with the Owner or Client.
  • Establish monthly billing procedures with the Owner or Client.
  • Implement and maintain job cost control, with monthly reporting.
  • Review general conditions costs on a monthly basis.
  • Evaluate subcontractor payment applications based on percent completion and approve or adjust as necessary.
  • Authorize material and subcontractor invoices for payment.
  • Issue change orders to subcontractors.
  • Assist in managing the bid turnover and project startup process, including reviewing blueprints/specifications, proposals/project requirements, and coordinating materials procurement.
  • Provide status updates and maintain comprehensive documentation records.
  • Support the Project Manager with submittal compilation, purchase orders, on-site job evaluations, change order requests, pay application support, and close-out documentation.
  • Manage online project document postings using Bluebeam Studio and Microsoft SharePoint.
  • Develop and maintain positive relationships with vendors and clients.
  • Prepare project controls, budget setups, schedules of values/billing mechanisms, and maintain these under the direction of the Project Manager(s).
  • Develop and procure product data submittals/shop drawings for approval, manage material releases for timely delivery to projects, and mitigate supply chain issues.
  • Oversee Requests for Information (RFI) submissions, tracking, response evaluation, and implementation.
  • Manage document control and distribution for projects.
  • Assist in the monthly billing process under the direction of the Project Manager, including job site evaluations, client coordination, and monitoring of billing and cost data.
  • Assess construction methods and determine the cost-effectiveness of plans and actual work. Take appropriate actions to address delays, adverse weather, or emergencies at construction sites.
  • Implement and monitor quality control programs across projects.
  • Regularly visit project sites to evaluate performance, progress, and quality, ensuring connectivity with the field and clients.
  • Ensure compliance with all safety and environmental policies set forth by the Company and project owners by all project personnel.
  • Foster and maintain relationships with peers at clients, architectural and engineering firms, and trade partners to ensure successful project outcomes.
  • Manage the closeout and commissioning process, tracking subcontractor/vendor submissions to ensure timely project closeout documentation.

Qualifications

  • 2+ years of electrical experience/knowledge in construction, design, and cost management as an Assistant Project Manager or Project Engineer on Commercial and Institutional projects.
  • Bachelor's degree in Construction Management, Electrical Engineering, or equivalent work experience.
  • Experience in preparing take-offs and estimates for change orders.
  • Advanced skills in reading and interpreting plans and specifications.
  • Familiarity with NECA codes and TIA standards.
  • In-depth knowledge of NEC and NFPA codes with strong problem-solving abilities.
  • Comprehensive understanding of all aspects of construction (technology, equipment, materials, means & methods, etc.) along with an understanding of Company and industry practices, processes, and standards and their impact on project activities.
  • Proficient in Microsoft software (Word, Excel, Outlook, Visio, and PowerPoint), Bluebeam, ChangeOrder, Accubid, or other estimation software, and BOS (Berg Operating System).
  • Excellent verbal and written communication skills.
  • Able to work independently as well as collaboratively in a team environment.
  • Ability to present oneself professionally and represent the company image effectively.
  • Demonstrated track record of leadership and successful project outcomes.
