Summary - The Hospitality & Events Coordinator is responsible for marketing, planning, and executing all Events, VIP guests, and tours as well as maintaining the facilities of the Event Center and family-owned properties. This position also supports our Paso Robles Tasting Room and Jada Vineyards.

Essential Duties and Responsibilities - Current duties may be changed if the job requires and/or additional duties may be assigned if necessary.

  • Reach out to vendors to secure event dates and necessary equipment is ordered.
  • Work with marketing to create collateral to promote
  • Meet with the Marketing Team on a weekly basis to collaborate on any support or materials needed for events.
  • Travel to various local businesses to drop off event flyers and do event
  • Set-Up and Break-Down of the events at the Tasting Room and Event Center location.
  • Manage Tripleseat reservation system to track and reply to any incoming Event and Reservation inquiries in a timely
  • Reply to all new event leads in Tripleseat on a timely basis.
  • Maintain menus and price changes on Grubhub and ChowNow as needed.
  • Email correspondence with potential guests'
  • Organize Private Tastings and Tours as well as execute those events.
  • Assist the Tasting Room staff during busy times and during weekends and holidays.
  • Attend Chamber and Wineries of 46 East Meetings.
  • Represent RFW at local events such as Blend Fest, Wine Fest, etc.
  • Conduct Production Facility Tours as
  • Assist VIP groups with their lunch orders and tastings within the Paso
  • Maintain the organization of the Event Center closets including linens, tables, and miscellaneous supplies.
  • Ensure Event Center equipment is in good condition, and coordinate with vendors for any needed repairs.
  • Manage VIP's events and tours.
  • Prepare Event Center before and breakdown after events.
  • Create and maintain a working inventory list for the Event Center.
  • Update and maintain Event Center catering and rental options and pricing.
  • Responsible for reviewing and approving invoices from vendors.
  • Track and notify any groups staying at the various vineyard
  • Stock any kitchen/food items groups need for during family stay at the
  • Travel to properties for inspections, and mail collection.
  • Meet with vendors for repairs and maintenance of properties.
Minimum Qualifications:
  • High School Diploma or GED
  • Minimum 1-2 years of experience in Event Planning and/or Hospitality.
  • Minimum of 1 year of experience in a winery.
  • Excellent communication and customer service skills.
  • Attention to detail.
  • Experience using Microsoft Office (Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Strong ability to follow up and give clear feedback if needed.
  • Develop and maintain strong working relationships with others.
  • Strong relational skills and ability to anticipate needs.
  • Comfortable working in an in-person and mobile, interactive environment.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of sensitive information related to the company.
  • Self-starter, able to work in a space of ambiguity and evolving role and solutions oriented.
  • Problem solver, resourceful, and able to find solutions independently.
  • Bilingual a plus
