The Practice Administrator Urgent Care and Occ Medicine Services is responsible the day-to-day operations of their assigned clinics. They will manage the hiring process/supply allocation/staff schedules/ budgets/quality initiatives associated with each clinic. This position is responsible ensuring that each program is continually providing excellent healthcare to both urgent care and occupational medicine patients.

JOB DUTIES AND RESPONSIBILITIES:

  • Oversees the daily operations/staff schedules of the three/four clinics they are assigned.
  • Handle the staff hiring/training/evaluation/compliance process for all nurses and techs (including per diem staff) at each site. 
  • Create patient-friendly workflows in the clinics for both urgent care and occmed patients. 
  • Monitor and manage all expenses as well as the productivity of each clinic.  Demonstrates financial responsibility and accountability daily with supplies/staff schedules (over time).
  • Handle all patient grievances/service recovery for all assigned clinics.
  • Organize tours (for SLUHN providers/nurses/techs) at Occ Med companies to maintain the compliance of our teams with the expectations of our Occ Med clients.
  • For occupational medicine patients, develop a charting process that ensures the Return-to-Work documents are sent to the employer within three hours of the patients visit.
  • Establish best practice protocols for the quality controls associated with the point of care testing program. 
  • Create an efficient point of service cash collection process, ensuring each site handles all cash/credit card payments and processing correctly; conduct bi-weekly audits. 
  • Proficient with both EMR systems: EPIC (urgent care) and Systoc (Occ Med). 
  • Manage EPIC work queues, creating a system of accountability for chart completion and timely billing at all assigned clinics.
  • Conduct a minimum of one quality improvement project per year for their assigned clinics. 
  • Perform monthly audits on the Medication for Sale Program.
  • Responsible for managing the Respiratory Fit Testing program for all Occ Med clients that utilize the assigned clinics.

PHYSICAL AND SENSORY REQUIREMENTS:

Sitting for up to six hours per day, for two hours at a time. Standing for up to four hour per day. Walking for up to three hours per day, ten minutes at a time. Continually uses fingers and hands to manipulate objects. Occasionally lift, carry or push objects up to 75 pounds. Occasionally uses upper extremities to lift up to twenty pounds; sometimes heavier. Very often stoops, bends and reaches above shoulder level. Hearing as it relates to normal conversation. Seeing as it relates to general vision, near vision, peripheral vision, and visual monotony.

EDUCATION:

Bachelor's Degree in health or business administration and three years of office management experience including one year in a health care organization required.

OR Master's Degree in health or business administration and one year of office management experience including one year in a health care organization required.

OR associate degree in health or business administration and eight years of office management experience including one year in a health care organization required.

OR High School Diploma and eight years of office management experience including one year in a health care organization required.

Master’s Degree preferred.  

TRAINING AND EXPERIENCE:

Minimum three to five years experience in a medical office required. 

Prior supervisory and/or leadership experience (preferably in health care or hospital setting) required. 

Knowledge of medical terminology required.

Five years’ experience in a supervisory position preferred.
