Role Description
This is a full-time on-site role located in Irvine, CA for an Administrative Assistant at Above the Top Events. As an Administrative Assistant, you will be responsible for organizing and coordinating office administration and procedures, in order to ensure organizational effectiveness and efficiency. You will carry out a range of administrative tasks, contribute to the smooth running of the office, and support various teams across the organization.
Qualifications
- Proven work experience as an Administrative Assistant, Receptionist, or Office Assistant
- Excellent communication and organizational skills
- Familiarity with office management procedures and basic accounting principles
- Ability to multitask and prioritize tasks
- Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.)
- Strong attention to detail and problem-solving skills
- Bachelor's degree in a relevant field is preferred, but not required
Duties and Responsibilities:
- Answer and direct phone calls to appropriate parties or take messages.
- Attend to visitors and deal with inquiries on the phone and face to face.
- Oversee the maintenance of office facilities, and equipment.
- Perform general clerical duties to include, but not limited to, photocopying, faxing, mailing, and filing.
- Coordinate meetings and organize catering when necessary.
- Maintain hard copy and electronic filing system.
- Learn our system to better assist customers.
- Organize and schedule appointments and update calendars.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Order office supplies and research new deals and suppliers.
- Submit and reconcile expense reports.
