R & W Group has an exciting opportunity for an Events Specialist professional to join our mid-sized law firm client in DC, working on a hybrid schedule. The Events Specialist will report to the Director of Marketing and will provide both comprehensive support and planning for all external and internal events and general business development support. The firm's events include client, prospect, and networking events, client CLE presentations, lawyer retreats, weekly firmwide internal events, and virtual or hybrid presentations. The Events Specialist works directly with the firm's business development managers, attorneys, committees, and other administrative departments to manage and execute successful events of all sizes.

Specific event management responsibilities include, but are not limited to:

  • Working to support the firm's practices' strategic and business planning efforts as they relate to firm events
  • Planning, coordinating, and executing external events (roughly 50 per year), including venue research, contract negotiation, budgeting, staging and development, materials and collateral production, menu development, documentation and communication to coordinate team members across multiple departments, RSVPs, feedback, and post-event analysis
  • Serving on the firm's Community Committee (co-chaired by the Director of Marketing) and planning, coordinating, and executing weekly firmwide events, special events, and biannual lawyer retreats
  • Managing the firm's relationships with existing catering and event vendors and expanding those relationships
  • Coordinating requests for CLE accreditation with the firm's external vendor
  • Working closely with lawyers to promote and track ROI for client, prospect, and other events, including webinars, virtual programs, on- and off-site seminars, and conferences
  • Developing and executing follow-up plans to ensure best possible ROI
  • Overseeing set-up of audio-visual logistics, particularly for hybrid and virtual events, by working with our IT department and vendors
  • Working with Marketing staff to identify target audiences and industries for firm events
  • Maintaining invitation and attendee lists in InterAction
  • Creating and maintaining official department files and electronic records for events, promotional materials, and other resources
Additional responsibilities include working with members of the Marketing department in support of firmwide and practice-specific business development initiatives, as bandwidth allows.

Requirements:
  • 3-5+ years of event experience in the professional services arena (preferably a law firm)
  • Four-year degree is required; degree in marketing or a business-related field is preferred
  • Strong written and oral communication skills
  • Conversancy with CRM technology (preferably InterAction) and web-based applications (websites, webinar platforms, email software, intranets)
  • Demonstrated good judgment and a professional demeanor.
  • "Boardroom" presence, a team-first orientation, and stamina

The selected candidate must also demonstrate excellent client service, organizational, problem-solving and interpersonal skills.
