The Inn at Little Washington is seeking a dedicated Event Planning Specialist to join our esteemed team. This role is pivotal in managing all aspects of event coordination, ensuring that each occasion is executed flawlessly and meets the high standards of our establishment.

Key Responsibilities:

  • Oversee the comprehensive planning and execution of special events.
  • Serve as the primary liaison among clients, vendors, and team members.
  • Manage logistics for third-party services including transportation, catering, and photography to guarantee a seamless event experience.
  • Draft and send all client communications, including proposals and follow-up correspondence.
  • Conceptualize and design event themes, manage invitations, and coordinate logistical details.
  • Maintain thorough records of event planning activities, progress, and post-event evaluations.
  • Be present at events to supervise activities and ensure all details are addressed as planned.
  • Resolve any issues that arise during events and oversee post-event clean-up.
  • Guide and support team members involved in event execution.
  • Negotiate contracts with vendors for various goods and services related to events.
  • Ensure compliance with contract terms by monitoring the delivery of goods and services.
  • Build and maintain a robust network of contacts to facilitate effective event coordination.
  • Develop and manage budgets for events, ensuring financial oversight.
  • Assess staffing requirements for events and secure additional personnel as needed.
  • Perform additional duties as assigned or requested by clients.

Qualifications:

Essential:

  • At least two years of experience in event planning or a related field.
  • Exceptional interpersonal skills and a warm, engaging demeanor.
  • Proven experience in organizing and executing special events, with a strong understanding of food and beverage services.
  • Excellent written and verbal communication abilities.
  • Strong negotiation, leadership, and organizational skills.
  • Ability to manage multiple tasks and remain composed in a fast-paced environment.
  • Proficient in computer applications, including word processing and spreadsheet software.
  • Detail-oriented with strong problem-solving capabilities.
  • Experience working with executives and managing volunteers.
  • Demonstrated initiative and a strong customer service focus.
  • Ability to work collaboratively within a team and take the lead when necessary.
  • High energy level, flexibility, and sound judgment.

Preferred:

  • A degree in hospitality management or a related field is advantageous.
  • Educational background in marketing, business management, or a similar discipline is desirable.

Physical Requirements:

  • Ability to lift 30+ lbs.
  • Capable of standing, bending, and walking for extended periods.
  • Frequent need to perform physical activities such as reaching, pushing, and climbing.
