The Event Operations Specialist at Arena Stage is integral to the successful planning and execution of various events while fostering strong client relationships. This role encompasses a range of administrative duties, including responding to inquiries, conducting venue tours, and occasionally overseeing smaller-scale events. The Specialist collaborates closely with the Events & Rentals team to ensure seamless operations and uphold the esteemed service standards associated with Arena Stage. This position offers a pathway to advanced roles within the Events & Rentals division.
Key Responsibilities:
- Facilitates client interactions by addressing inquiries and providing comprehensive information regarding Arena Stage's event facilities and offerings.
- Assists in the logistical coordination of event planning, which includes maintaining event schedules, organizing room bookings, and supporting setup and teardown processes.
- Works in partnership with various departments to compile essential information for event execution, ensuring effective communication of client requirements.
- Addresses client needs and concerns by directing inquiries to the appropriate team members and following up to guarantee resolution.
- Contributes to the implementation of event protocols by developing and revising standard operating procedures and checklists.
- Supports the financial aspects of event management by collecting necessary data for invoicing and maintaining precise financial records for each event.
- Gathers and organizes client feedback post-events to assist in assessing event success and identifying opportunities for enhancement.
- Participates in marketing efforts by keeping current information about rental spaces and aiding in the creation of promotional materials.
- Conducts venue tours for prospective clients, showcasing the features and capabilities of Arena Stage's event facilities.
Qualifications:
- Minimum of 1 year of experience in events & rentals or a related field; an associate's degree or higher in a relevant discipline (theatre, hospitality, marketing) may substitute for up to six months of experience.
- A background or strong interest in the arts is preferred.
Work Schedule:
The ideal full-time candidate will work Monday through Friday during standard business hours, with occasional evening and weekend hours as needed.
