Position overview: This position provides high level administrative support for critical areas of the school including the President, Board of Directors and the Senior High Principal. Responsibilities to BSM as a Catholic School: Except in the teaching of religion, it is not an essential prerequisite that all employees be Catholic. However, all employees are expected to respect the teachings of the Church. Support to the President (40%): Professionally and confidentially represent the organization in all interactions. Anticipate and support the professional and business needs of the President. Manage the President’s calendar, including scheduling and relevant information needed for meetings. Provide general administrative support. Responsible for meeting arrangements and details of scheduling facilities, preparing agendas, arranging refreshments, ensuring technology resources are available and providing hospitality for various events. Maintain a system for storage and rapid retrieval of correspondence, files and records. Arrange business travel. Assist with communications and serve as communication link for the President among faculty, staff, parents, students, and general public, screening requests and directing to correct individuals where appropriate. Manage President’s donor activity-preparation and follow-up ensuring they are well prepared with background information relevant for the donor. Enter relevant data into the donor database from each donor interaction. Coordinate and enter data for surveys as required by NCEA, Archdiocese, MISF, etc. Support Leadership Team members when requested to do so by the President. Lead and manage various projects on behalf of the school, including the beginning of the year welcome event (Red Knight Round Up), and Commencement. Manage the school-wide calendar of events. Provide additional support and assistance to front desk staff as needed. Provide support to Board of Directors (40%): Maintain Boardable (Board management portal) and related data: Maintain files and rosters for Board of Directors and working committees to ensure all records are orderly and in a secure place. Prepare and publish on Boardable all meeting materials for Board meetings (approximately 6 per year), including agenda, committee reports, pre-reads, draft minutes and special instructions. Committee reports are generated by Committee Chairs. Manage access for members according to committee membership and board roles. Continually maintain accuracy of information posted across the site. Maintenance of document center and committee pages. Resolve user questions quickly. Schedule on master calendar, plan and supervise the setup and execution of Board of Directors and associated committee meetings. Manage and attend 6 Board meetings throughout the year, including off site and evening meetings. Provide general administrative support for Board and Committee Chairs. Help onboard new board members. Provide support for the leadership team if needed around Board activities and train leadership team on Boardable as needed. Maintain Board of Directors web page. Draft updated Board member biographies as needed and according to BSM style guide. Collect Board members’ approvals for biographies and photos. Acquire gifts for Board members, as requested (typically Christmas and upon leaving the BOD). Support to the Senior High Principal (20%): Provide general administrative support. Help with scheduling and meeting arrangements. Help maintain files and records. Assist with communications and serve as communication link for the Principal among faculty, staff, parents, students, and general public, screening requests and directing to correct individuals where appropriate. Monitor Parent Pulse results and email responses and/or communicate with the Principal on correspondence to families. Maintain and update Master Calendar for BSM Community and Faculty and Staff. Maintain financial records and submit invoices and purchase orders to SLP district office. Required skills: Professional, approachable and friendly. High level of integrity with ability to maintain strict confidentiality. Superior customer service mindset and skills. Strong verbal and written communication skills. Skilled in use of Microsoft Office Suite, including Word, Excel and PowerPoint in addition to email/calendaring software, as well as Google. Experience with Donor database software such as Blackbaud Raiser's Edge or similar would be helpful. Ability to learn new software and hardware applications. Efficient and well organized with high attention to detail. Commitment to equity, inclusion, and belonging. Ability to work independently and strategically, anticipating needs. Ability to work within deadlines, under pressure and times of high volume workload. Ability to work limited evening hours. Education / Experience (Minimum Required) Associate’s Degree or equivalent.
