Executive Administrative Assistant II

Position Overview:
The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is in search of a highly organized and versatile individual to fulfill the role of Executive Administrative Assistant. This position is responsible for providing comprehensive secretarial and administrative support to the unit manager.
Key Responsibilities:
- Conducts general administrative tasks for the unit manager
- Manages incoming calls, correspondence, and addresses routine inquiries
- Coordinates appointments and organizes meetings/conferences
- Maintains and organizes confidential and administrative documentation
- Assists in monitoring and managing the unit's budget
- Serves as the primary timekeeper and policy liaison
- Generates, copies, files, and disseminates various reports
- Orders and oversees the inventory of office supplies
- Provides backup support for clerical staff during their absence
- Performs additional duties as assigned
- Ensures Monthly Statistical Report (MSR) metrics are accurately recorded in the web database
- Types monthly 703 reports and maintains documentation for audit purposes
- Required to drive for State business purposes
Knowledge, Skills & Abilities:
Knowledge of:
- General office practices and procedures
- Personal computing, including Microsoft Suite and Google Suite
- Business English and basic mathematics
- Office management and equipment operations
- Payroll practices and procedures

- Effective written and verbal communication
- Detail-oriented results delivery
- Record keeping and report generation
- Building and sustaining interpersonal relationships
- Time and project management
- Scheduling and coordinating meetings
- Taking and transcribing meeting minutes
Ability to:
- Function effectively in a correctional environment
- Maintain organized files of correspondence, records, and reports
- Uphold confidentiality
- Adapt to shifting priorities
- Learn and comply with departmental policies and procedures
Preferred Qualifications:
Two (2) years of professional office experience and proficiency in Microsoft and Google Suite are preferred.
Pre-Employment Requirements:
To ensure a safe working environment, all employees must undergo a Tuberculosis (TB) test during their New Employee Orientation and annually thereafter. Additionally, if driving is a necessary function of the job, employees must possess a valid driver's license and pass all required checks.
