Administrative Assistant to the Executive Director of Development

The Salvation Army Midland Divisional Headquarters located in St. Louis, Missouri, is looking for a Administrative Assistant to the Executive Director of Development This position will assist with the responsibilities and functions of the office of the Executive Director of Development. This includes private and confidential matters relating to donors, personnel, programs, and office procedures. Operates with a high degree of independent judgment, maintains close and highly responsive relationship to daily activities of the Executive Director of Development. Position is expected to comply with and meet The Salvation Army, Federal, State, and Local policies and standards.
This is a full-time position with minimum starting wage of $22.23 per hour. Wage can be negotiated based upon experience and education. The Salvation Army Midland Divisional Headquarters is located at 1130 Hampton Ave, St. Louis, Missouri.
Essential Functions:
- Assist the Executive Director of Development (EDD) in communications to appropriate corps/unit locations personnel within the Midland Division, Divisional Headquarters (DHQ), and Divisional Advisory Organizations.
- Serve as point of contact between Development and all other departments, including Community Relations and Development (CRD) at Territorial Headquarters (THQ).
- Correspond on behalf of the EDD with both internal and external stakeholders: board members, officers, staff, volunteers, community members, and clients.
- Coordinate meetings, plan, and execute special projects as assigned by EDD.
- Attend meetings, take meeting minutes when needed, and prepare final minutes upon review of supervisor.
- Manage and maintain EDD schedule. Assist with preparing and oversight of the pre and post meeting actions.
- Manage the Development Department SharePoint site. Assist those who need access and help.
- Manage EDD calendar, filing system, travel arrangements, committees, attendance, etc.
- Support EDD in organizing various projects and campaigns.

Education and Experience:
- Bachelor's Degree
- Two (2) years' work-related experience as Executive Secretary/Administrative Assistant or combination of training and experience will be considered.
- Project coordination and event planning experience important.
Required:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and E-Mail (Outlook and Teams experience a plus).

- Hyper-organized and hard-working.
- Ability to work proactively on several projects at the same time with minimum supervision.
- Excellent verbal and written communication skills.
- Capable of structuring routine and sensitive correspondence.

- Must be willing to continue education and learn new computer applications, as needed.
- Proficient with typical office equipment.
Preferred:
- Adobe Acrobat DC, Microsoft Project, Salesforce, and Blackbaud experience.
Physical and Working Conditions
- Must be capable of performing the above essential duties in an office environment to include using a computer, answering phones, etc.
- Most work will be indoors in a temperature-controlled environment.
- Work requires frequent use of computer terminal and other office equipment.
- Requires long periods of sitting, and close visual examination of computer products.
- There may be some standing, bending, carrying of light items such as papers, books, and small packages.
- Position is occasionally expected to help set up rooms for meetings and special events.
